BOCA RATON, Fla., Jan. 6, 2015 /PRNewswire/ -- Advanced Processing & Imaging, Inc. (API), a developer of document management and business process automation software today announced that the Town of Bethlehem located in Delmar, NY selected API's OptiView® Document Management solution for use across many of its departments.

Incorporated in March of 1793, the town is situated on the west bank of the Hudson River, bordering Albany, the capital city of New York State. Its location at the crossroads of the northeast allows easy access to New York City, Boston, and Montreal, all of which are just hours away by car or rail. Bethlehem is a dynamic and diverse community with a population of over 35,000 and total area of 52 square miles.

The Town of Bethlehem was challenged with storing, retrieving and managing tens of thousands of paper documents all stored in the Town Hall basement and used by many different departments. Every day, Bethlehem staff spend hours searching and retrieving documents required for government processes and records requests from the public. Having limited staff, business efficiency is a top priority. The Town of Bethlehem also needed a better way to protect all their documents as they have experienced basement flooding in the past.

"Storing and retrieving paper documents to conduct business across the town is just too inefficient," says Jeff Dammeyer, Director of MIS, Town of Bethlehem. "Plus after experiencing a flood last year, we realized the risk we face and decided it's time to implement a document management solution."

After investigating a number of document management solutions, Bethlehem selected API's OptiView system based on important criteria including ease of use, powerful full text search capabilities and seamless integration with their SunGard Public Sector NaviLine software solution. They plan to deploy OptiView in the Finance, Property Assessor, Town Clerk and GIS departments. Bethlehem staff will have all documents needed for the tasks-at-hand automatically delivered to their desktop while they are in their NaviLine application—without having to search. Plus, with OptiView's easy to use but powerful search engine, ad-hoc requests for needed documents, reports, freedom of information requests and other information is instantaneously satisfied.

"We are excited to get started with API's OptiView solution as it will enable significant business efficiency across the Town," says Jeff. "Once deployed, our staff will have instant access to documents they need to complete tasks faster and provide better services to our residents and businesses. We'll also be able to protect all our electronic documents the way we do for the Town's data, to reduce risk and have a disaster recovery plan in place."

"Like all our other Municipal Government customers, The Town of Bethlehem will see great return on investment (ROI) from API's OptiView, derived from increased staff productivity, faster processing and reduced risk," says Juan Rodriguez, CEO, Advanced Processing & Imaging. "We're thrilled to add the Town of Bethlehem to our growing family of 'Raving Fans'."
