The Dunedin City Commission unanimously approved three contracts at a Jan. 20 meeting.

A contract was approved for Toshiba America Business Solutions Inc. for $25,000 to supply the city with digital copiers. The city has 16 copiers at various locations as part of an agreement with this business. The agreement term for 13 of the copiers has expired, and the city is using a maintenance only agreement for those copiers. The agreement term with the remaining three copiers all expire within the next year, according to a staff memo.

In August 2010, the state awarded a new contract to Toshiba for the supply of digital copiers, and then the city’s purchasing agent, Chuck Ankney, got a quote from the local authorized servicing dealer to supply the city with new machines. Ankney also polled city users to see if any of them wanted to retain their current copier under a maintenance plan with the local dealer. There were four departments who requested keeping their current copier, which will save the city money. Therefore, nine machines will be replaced immediately with similar machines, and the three others will be replaced within the next year when their contracts expire.

Because the new contract is a “cost per copy” contract, costs will be reduced by about $8,000 annually compared to current costs, the memo said.
