The City of Armadale Council Maintains Compliance With Ricoh Solution

Since partnering with Ricoh for their document management, the City of Armadale Council has improved workflow, document security and compliance, while realising less waste, cost and complexity.

The Ricoh solution consisted of 32 multifunction devices (MFDs), ESA TransFormer to support document scanning, conversion and distribution workflow, Equitrac Office for fleet management and document security and a Ricoh colour production device to provide in-plant printing.

The Council chose Ricoh after a comprehensive audit of its document and print environment. As one of Western Australia’s fastest growing regional centres, they required a solution that could grow with them to answer issues in hard copy storage, lack of document security and cost overruns in consumables.

The Council’s Manager of Governance and Administration, Mark Dawson, required a single vendor to solve these challenges. “As a single vendor solution, the Ricoh MFDs and colour production device, in conjunction with the integrated workflow and management software, have given us a comprehensive and highly efficient document management solution.”

Importantly for the Council, the Ricoh solution ensures compliance with record keeping standards and requirements stipulated by the State Records Commission of Western Australia.

“The Ricoh solution has proven to be ideal for us to transition to digital content management. And this is attributable to the fact that it’s straightforward in its deployment and operation, and satisfies our record keeping requirements,” said Dawson.

Of particular note is the reduction in consumption costs with the Ricoh solution. “On a per page basis, we’re seeing a reduction of approximately 50 percent,” said Dawson. And in a business with almost 400 personnel, that reduction is delivering significant savings.
