Ricoh MDS Provides Green Governance to Knox Grammar
Knox Grammar is achieving significant environmental reductions and a predicted overall cost savings of 40 per cent after choosing Ricoh’s Managed Document Services (MDS) from a range of vendors to provide print and document management.
Software solutions, a fleet of 38 Ricoh multifunction devices, a Green Print Centre, formal quarterly reviews, and the ongoing work of on-site Ricoh personnel are all part of Ricoh’s MDS governance process, which has achieved:
■Reduction in cost and waste, including 30 per cent saving in paper usage through enforced print policy; and
■Improved document workflow with introduction of greater printing flexibility, increased document security and reduced paper waste.
The key to Ricoh MDS winning the contract was the amount of effort and time spent on campus in order to gain a true picture of how the prestigious school was previously operating.
“The amount of work Ricoh MDS personnel put into understanding our needs, before there was even a contract to sign, really impressed us,” said Kerrie Howarth, Personal Assistant to the Deputy Headmaster for Professional Learning and Compliance at Knox Grammar, who was responsible for managing the tender.
“It was definitely evident in their final presentation that they had used everything they had learned to develop a comprehensive solution that met or exceeded all of our needs – and that was instrumental in Ricoh being awarded the contract,” she said.
Rolled out in just 12 days, the Ricoh MDS solution, including the establishment of a Green Print Centre to manage bulk printing, was designed to closely track and analyse document spending by allowing the enforcement of print policies across the entire School, reducing costs and waste.
Playing a key role in governance the Ricoh MDS solution’s customised reporting and management software to track and analyse print volumes, document spending and administer print policies. Within only a few months of adopting the Ricoh MDS solution, the School has gained a 30 per cent saving in paper usage.
“Ricoh has delivered precisely what we were looking for in regard to governance,” Howarth said. We have been able to realise substantial and sustained improvements in efficiency and reductions in waste, which in turn has helped us reduce costs and improve our environmental performance.”
