Booking.com has grown rapidly since its founding in 1996 and continues to do so. The purpose of Booking.com is to allow their customers the most efficient and cost-effective way to search through the site and then let them book as easily as possible.

To facilitate this strong growth and at the same time relieve the pressure on the Accounts Payable team, Booking.com has partnered with Ricoh for the global automation of the entire process of invoice processing.

Booking.com is a subsidiary of Priceline.com and owns and manages Booking.com, a global leader in online reservations of accommodations.

Every day there are more than 425,000 room nights reserved through Booking.com. The website is available in more than forty languages and offers 289.724 spacious accommodations in 180 countries. Worldwide, there are more than 4750 people at work for Booking.com’s customers and hotel partners.

Katia Ludovico, at Booking.com responsible for Finance Projects:

  • “Booking.com has grown rapidly. That means that we do more purchases. Paying bills on time is so necessary to offer the services we offer to our customers. The increase in the number of invoices (more than fifty thousand per year) increased the pressure on the team Accounts Payable.”
    .
  • “We crafted the processes with our partners, Ricoh, Readsoft and Ctac in such a way that we receive the incoming invoices worldwide on one central location. We then scan the documents and provides the software by Readsoft sure we recognize as many invoices automatically.”
    .
  •  ”In the next step the digital invoice is delivered in the mailbox of the budget holder who can approve the invoice anytime, anywhere; also via the smartphone or tablet. Finally, the invoice will be paid. By automating this entire process, we can facilitate the growth of Booking.com within the team Accounts Payable with the same formation.”
    .
  • “We are rolling out this global solution step by step. Users are excited about the new way of working. They no longer need to walk with ring binders packed with physical invoices. These employees now have more time to invest in projects and in their own career.”

The setup of digital invoice processing at Booking.com is the result of good cooperation between different parties. After a thorough selection procedure and extensive testing Booking.com had great confidence in Ricoh as system integrator, in Readsoft as a provider of software for automated invoice processing and in Ctac, for the integration with the SAP business software.
