Document Distribution System is a productivity-enhancing tool that extends advanced network scanning functionality to the award-winning WORKiO. DP-6020, DP-4520 and DP-3520 series.
SECAUCUS, NJ Panasonic introduces Document Distribution System (DDS), which is engineered to automatically distribute scanner (TIFF format), PSTN fax or Internet fax data when it is received, to any or all of five pre-defined destinations. The software runs on a separate delivery server and is accessed by desktop users through a web-based utility.
Using the new document-routing software, system administrators can create new templates, edit existing ones, add new items to the device address book, view documents stored in a web folder and access various reporting options. Address books can be imported and exported in XML or CSV formats.
Using DDS rather than the standard scanning utility to create a template allows the system administrator to set up routing tables on the server with a standard web browser. Documents can then be sent to:
· Desktop utilities (one or more simultaneously)
· Web folder on DDS delivery server
· Multiple email addresses
· Fax number (delivery fax can be any LAN-enabled fax on the network)
· Network folder
Once the routing tables are created, using the document routing software is simple because there is no need to set up an address book. It s as easy as walking up to the WORKiO MFP, selecting a distribution option from the menu, placing the document on the machine and hitting "start." Distributions can also target specific divisions, e.g., Accounting, IT, etc.
Documents can be sent via fax and/or email. For example, a document being distributed to the sales force can be delivered to some via fax, and to others via email. When the machine receives a fax or I-fax data, the distribution function automatically sends the data in accordance with the server s pre-defined settings.
With DDS, users of the WORKiO MFPs can also manipulate documents, perform auto rotation, which automatically puts documents in Portrait direction no matter how you load them in the document feeder, and look at a document to make sure it is entered correctly. Functions such as de-skewing and noise reduction, which are performed in the server before the message is sent, are transparent.
In addition, for each distribution method, certain functions such as de-skewing can be turned on or off. DDS also enables title extraction, performing a zonal optical character recognition (OCR) on a document to determine its proper name. A user can name a scanned file before it is sent using QWERTY keyboard.
The following scenario illustrates the impact that Panasonic s document routing software can have on a company s productivity.
A company CEO is working at home over the weekend on a document that must be distributed to all employees Monday morning. Using the fax machine in his home office, he assigns the document a four-digit number or sub-address, and transmits it to a WORKiO at the company.
DDS recognizes the sub-address as a company-wide distribution and automatically emails to some employees and faxes the document to employees that do not use email. In addition, DDS maintains a copy of the file on record, places the document on a network share, and sends a confirmation back to the CEO.
The document has been sent without requiring staff support or having to worry about employee access to a computer. Before it s sent, the email can be converted to a compressed, industry-standard PDF file for ease of reading.
The system consists of DDS Server Software and Network Scanner Module with DDS Unlock. DDS Server Software can support up to 10 MFPs from the WORKiO DP-6020/4520/3520 series. One Network Scanner Module with DDS Unlock is required for each MFP that is intended to work with the DDS Server Software.
BERTLR (Digital Test LabR ), a leading independent testing laboratory, evaluated Panasonic s document routing software this fall in tandem with the WORKiO DP-6020, DP-4520 and DP-3520. BERTL analysts had this to say about DDS: "We found DDS easy to use, and found that it delivered a high level of functionality without being too complicated for average office users."
Document Distribution System Server Software and the Network Scanner Module carry SRPs1 of $1,795.00 and $1,195.00, respectively.
