BURLINGTON, Mass., Mar 11, 2010 (BUSINESS WIRE) -- Nuance Communications,
a leading provider of speech and imaging solutions, today announced that the Boston Red Sox have selected eCopy PaperWorks PDF and network scanning desktop software to drive paper out of their accounting department, creating faster and more efficient invoice processing.
Using eCopy PaperWorks, Red Sox accounting personnel turn scanned paper documents into text-searchable and secure PDF files, and move them seamlessly into electronic invoice processing workflows. The software has helped the Red Sox replace time-consuming manual invoice processing with an automated electronic workflow process, saving time and eliminating the costs associated with paper filing and searching for lost paper invoices.
"eCopy PaperWorks has enabled us to take a highly fragmented, paper-bound process and bring it into our systems to gain greater control and speed," said Red Sox Senior Vice President/Chief Financial Officer Steve Fitch. "We now have visibility to all information in every step of our accounting workflows, which is helping us squeeze time and waste out of our process."
The Red Sox organization works with hundreds of vendors and receives thousands of pages of invoices every month. These invoices range from a 1,000 page telephone statement to single-page, handwritten bills from small vendors.
Now, invoices are scanned to PDF files when they enter the accounting department with personnel accessing and acting on them using eCopy PaperWorks software at their desktops. eCopy PaperWorks has built-in integration with Microsoft SharePoint, which the Red Sox utilize as a central location for employees to find information and to drive business applications. The software's SharePoint Connector allows Red Sox personnel to add scanned documents easily into a SharePoint repository and check them out of SharePoint as part of everyday accounts payable workflows.
The eCopy PaperWorks and Microsoft SharePoint workflow is also integrated with the organization's Solomon Software accounting application to generate a daily update on invoice processing into the general ledger system.
"The ability of eCopy PaperWorks to connect so tightly with SharePoint was the primary reason we selected the Nuance software. eCopy PaperWorks and SharePoint deliver a powerful combination that is in keeping with our organizational philosophy of going green as much as possible. The software products are helping us get paper off of our desks -- and reduce copying and printing in our office," said Fitch.
eCopy PaperWorks also provides capabilities for Red Sox staffers to annotate documents. For example, the software transforms PDF files into editable text documents so accounting personnel can make changes, such as correcting a name or address, in the document. eCopy PaperWorks also allows users to copy content from the PDF invoices and paste it into other documents so the information does not need to be retyped.
