The specialist document management company, headquartered in Manchester, developed ‘e-Pay’ as a cost-reducing way of issuing employment communications such as payslips, time sheets, P60s, P45s and other key HR information for instance pension letters and general employee communication.
The first results delivered lower print, postal and administration costs. But now employees are welcoming it too because it gives them instant password-protected Internet access to all their pay records and employment-related information.
“It’s slick and efficient document management systems that create a win-win solution for everyone concerned,” says Prime Document's Managing Director Simon Thompson.
Large scale distribution of payroll communications is done instantly, in a wide range of formats, and the system allows for any combination of multi-document merger.
One major client, a leading business services provider managing an extensive framework of subsidiary businesses, uses e-Pay to send ‘pay day’ information to more than 60,000 people in the UK at any given time. In addition each item can be tracked to confirm delivery.
Employees who are not registered to receive electronic documents get printed copies automatically in the post as normal.
However, for those who are, there’s the added benefit of an online archive giving 24-hour access to pay and employment information that may be needed for a variety of financial services.
“The new e-Pay system addresses issues and grievances our clients have with their incumbent payroll suppliers, from initial reactions it's clear to see e-Pay is set to become a key service in our already highly regarded product range,” said the document management company's MD, Simon Thompson.
