SAN DIEGO, CA - docHarbor, a division of Anacomp, has recently introduced two new features to its Scan-to-Web service, taking the concept of the “paperless office” to a whole new level.
Display and Manage Scanned Documents
The docHarbor Online Scan-to-Web Image Viewer provides a page-at-a-time display and management of scanned documents in the native browser regardless of whether the scanned document started its lifecycle as a paper or film-based document. The Image Viewer supports broad page navigation capabilities (first, last, previous, next and go-to-a particular page), thumbnail views, page rotation and zoom-in features, plus the ability to download or print a range of pages using standard, familiar PDF techniques.
The Re-indexing Tool allows privileged end users in a distributed environment or remote location to change, add, or delete metadata values associated with a given document – such as document number or customer name. All re-indexer transactions are audited, index values can be verified against specific business rules, and can be set up for manager approval, if required.

Thumbnails allow users to see small images of all scanned pages so they can navigate quickly to the exact page or pages they need without having to download the entire scanned document file. Rotation and zooming are obvious quick-assists for the user.”
Fast Downloads
With efficiency at the core of modern business profitability, the new Image Viewer and Re-indexing Tool means fast downloads – a page-at-a-time. For large files, the user does not have to wait for the entire document to load to their desktop to view the first page or pages. Each page can be downloaded as needed.
“From an operational efficiency standpoint,” says Meitchik, “this is a major leap forward, since this feature can minimize the need and expenses associated with separating documents or indexing data at the document level. The Re-indexing Tool allows indexing and document separation at the folder level.”
The simple, on-screen re-indexing also allows customers to change index values, which is especially important when original values or Optical Character Recognition results are incorrect. This feature allows remote (often offshore) companies to index from a standard web browser, and users with advanced domain knowledge have the capacity to fill in or update index fields with information not known at the time of scanning. Furthermore, this service allows fields to be set up for access control which can be removed or changed later, for example flagging a document for Quality Assurance testing.
Other new features included in the docHarbor
Scan-to-Web service include:
• An optional disaster recovery capability provides for automatic failover to a secure secondary data center in the event of an emergency
• Restricted document viewing based on document index values and/or custom user criteria
• Document “notes” feature enables privileged users to view/add/change/delete text document notes associated with a given document
“While much of these new features are directed to the information management team and, of course, customer service – the new capabilities have strategic decision makers in mind, as well,” says Meitchik.
“The challenge is to ensure timely research and responsiveness, appropriate access to relevant information only, and opportune decision-making,” he continued. “That’s the rationale behind the longstanding Scan-to-Web capability, and especially new features such as the Image Viewer and Reindexing Tool. It’s important to note from an overhead investment perspective that no docHarbor or custom, proprietary software needs to be installed or maintained on the customer’s website or on the end user’s desktop,” Meitchik concluded.
