Advanced Processing & Imaging (API), a developer of document management and business process automation software, and InfoSnap, Inc. the leading provider of cloud-based registration management systems, today announced that DeSoto County Schools in Hernando, MS, selected a solution comprised of InfoSnap’s Online Student Registration solution and API’s OptiView Document Management solution to help automate student registration and records management processes.
Each year, the DeSoto County Schools district has nearly 5,000 new students enter the school system and staff is required to process a surplus of student information and documentation for each one. Parents and students receive packets with a wide range of required forms to manually fill out and return. In addition to the paperwork collected for new students, DeSoto requests information and documentation from their returning student population which adds close to 30,000 more students.
DeSoto had staff working overtime to attain a goal of having all students’ information uploaded into their Pearson PowerSchool student information system (SIS) by the start of the school year and to address state records retention requirements. “Between the paper overload and all the manual data entry, staff was overwhelmed and it took months to get the job done,” says Melissa Green, MIS Director, DeSoto County Schools.
After evaluating a variety of solutions, they selected an integrated solution from InfoSnap and Advanced Processing & Imaging (API) for an online student registration, document management, and workflow automation solution that integrated with their Pearson PowerSchool SIS.
Through the customized online registration solution, InfoSnap made it easier for thousands of families to complete online forms and turn in required documents for secure scanning and uploading. “This efficient, cohesive, and collaborative partnership between InfoSnap and API has proven to be a valuable resource for the families and staff of DeSoto County Schools,” says Karin Holtz, Director of Business Development, InfoSnap.
Parents submit all information through a custom online solution built by InfoSnap. Once the data is captured and documents are scanned, they are seamlessly passed to API’s OptiView® document management system for long term storage and retrieval. The state requires that some student records and documentation need to be kept for up to 75 years. “With this powerful solution, DeSoto can process students faster while meeting compliance requirements,” says Juan Rodriguez, CEO, Advanced Processing & Imaging.
With the InfoSnap and API solution, DeSoto has virtually eliminated all paper documents associated with student registration and can now meet their student registration and records retention goals.
