Bates Stamping

The only product in our toolbox which can accomplish this task is the Ricoh Aficio 2090 with a software upgrade patch of some sort as it relates to product. There may be a software solution that enables to the sequential bates stamping from the PC, from the scanned image. Hopefully, someone else can shed light on this topic.

You need to go to the P4P sight and do a word search. There have been several discussions regarding Bate Stamping. In a nutshell, the 2090 and the 2105 are the only units with Bate Stamping from Ricoh or anyone else.

However, we have successfully sold "Bate Stamping" on lessor units using a compination of User Stamp and Page Numbering. The best way to accomplish this is to get a sample from them and then replicate it it for them on the 2045. Don't try to do it for the first time in their office though. It takes some manuevering and trial-and-error to get the stamps to line up together in the correct part of the page.

There was a post about a week ago that said that Konica now has Bates Stamping on their mid volume machines. I think it is a software solution for them.

It seems to me that a software solution would be next to worthless. It would force the firm to scan everything first.

Could you describe the solution in detail that you've accomplished using User Stamp and page numbering? Does this mean you copy then scan?

One of the potential "issues" with our solution is that the originals are not also stamped when the copies are. Some firms don't mind that, some do.

The process is to have the User Stamp place the non-variable part of the Bate Stamp. That is why you need to get a sample of what they do and then replicate it. The non-variable may be "Jones vs the State of Virginia" or it may be "0000000" if they insist on having the "0's" preceed the page number the way they are used to seeing it. (There is no legal requirement for the 0's however.) Some firms use an "Alpha Code" prior to the number.

The main thing is to understand what the Bate Stamp is and what it is for. It is a way to designate every page of a case file so that it can be found again if needed or referenced. I'm quite certain that I am correct when I say that if a Bate Stamped page was left laying around, it could be returned to the proper place in the proper file based on the Bate Stamp that was on it.

The hard part is to get the position of the User Stamp to line up with the position of the Page Numbering so that they appear as if they were all a part of the same stamp.

Also keep in mind that the current method is either a mechanical crunch numberer or a page of peel off stickers. In either case, high-dollar legal aids are spending alot of time going through each page of each case and manually applying the Bate Stamp. Because of the time and cost involved in the current method, the firm is willing to accept almost any alternative as long as you are talking to someone who cares about expenses.

Also keep in mind that not only are they saving administrative costs, but they are also charging their clients for the service which they will probably continue to do. The combination of these two factors may be able to make a case for a 2090 when the volume only necesitates a 2045.

FYI on the 2090/2105 Bate Stamping Solution. You cannot currently have both the Bate Stamping and Scanning available at the same time. They end up being mutually exclusive. Ricoh is trying to create a workaround or resolution.

what do you mean by "SCANNING"?

The 2090 and 2105 now have "scan to file/scan to email" capability just like the 2035/2045 unless you install the Bate Stamping option in which case you lose the ability to scan.
