Auditor General’s Office improves performance with Ricoh Solutions

When the Auditor-General’s Office of Victoria upgraded to Ricoh’s new multi-functional devices (MFDs), and then married the hardware with Ricoh’s ScanRouter V2 Pro software, the benefits were extensive. Dramatic cost savings on printing; faster flow of information around the office and more efficient management of documents were achieved.

The Victorian Auditor-General’s Office provides auditing services to the Parliament and Victorian public sector agencies and authorities. Its clients include some 590 government bodies to which it delivers a range of audit reports and publications.

In 2002, the Office turned to Ricoh to update much of its office automation equipment. Through lengthy discussions with Ricoh, it was recognised that the Auditor-General’s Offices’ needs were extensive. Not only did they want to improve the speed of information flow around the office, they also wanted to minimise paper output and associated costs. The proposed solution also had to be future proof and had to work with Lotus Notes. Ricoh proposed a combination of tailored hardware devices coupled with the ScanRouter V2 Pro’s capabilities.

John Clarke, Finance Officer of the Auditor General’s Office was in charge of the upgrade project. “We felt that Ricoh could provide technology that would move the Auditor-General’s Office forward by maximising our productivity and minimising our costs. We were also keen to work with a strong brand name, in the knowledge that they will be around to support us for a long time to come – and Ricoh fitted the bill perfectly!”

The new generation Ricoh MFDs, with ScanRouter V2 Pro, enabled the Office to handle their daily work faster and more efficiently. Correspondence and lengthy legal documents are now kept electronically and transferred around the office, whilst printing costs have been significantly reduced.
