I have a client that's processing a lot of invoices on a color mfp. This process has increased their maintenance pricing. The customer is thinking of getting a matrix printer and buying NCR paper. I was thinking if we could find 3rd party software that would allow them to print the first invoice in color and the other 3 copies in black and white, I might be able to increase the value proposition of adding new equipment. Any ideas?

I’d like to ask a few questions in order to get a better understanding of the customers environment and their needs.

What application is the user using to print? What platform does the application run on (AS/400, Unix, Linux, Windows, etc.)?

You mention the user is contemplating on transitioning to a dot matrix printer. I’m assuming the user is printing on blank laser paper and sending the entire print job (form and data) to the printer? Assuming the user carries out his idea of transitioning to dot matrix, does this mean the user has the ability to only send the variable data (without the entire form)?

Keep in mind the cost of 4 part carbonless is very high, the ribbon cost of the ribbon cost of the dot matrix is high, noise of the printer, plus dot matrix printers always need to have print heads replaced. Someone would then need to seperate the invoices and tear off the sides.

Thanks for the response. Now to answer the questions. They're using a Sage Business Works Accounting Software version 2012. It's a windows based product. At the moment each customer's invoice is printed one at a time and they're printing 3 to 4 copies of each invoice. They're currently printing to a Canon ImageRunner C5035. The company logo is the only thing in color on the invoice. The first invoice which is sent out to the customer is the only one that needs to be in color. The other copies are keep internally. I'm wanting to find some way to print the first invoice in color and the subsequent copies in b&w. In reference to the variable data question. I've looked at a few tutorials on line and you chose the type of printer you're printing to i.e, laser, dot matrix etc.

So the other three copies are being stored manually. Do we know if the user is scanning these copies back into their document management system? How many locations follow the current printing process?
FormJet Enterprise is a sophisticated hardware system (not third party software required) which can produce the following options:
1. Take the incoming print stream, create a color invoice PDF (on the fly) and deposit the PDF in a specified network share or hot folder.
a. The user can choose to email the invoice and archive electronically (no printing involved).
b. The user can choose to print the invoice in color.
c. The user can choose to print the invoice in black and white if needed.
2. Take the incoming print stream and print once copy in color and the remaining 3 copies in black and white.
