AE Smith was no stranger to paperless solutions and faced many challenges as their processing points were not fully integrated into Microsoft Dynamics GP and the WennSoft Signature® Field Service Solution. They were instrumental in arming AE Smith with the insight they needed to do their work more proactively, productively and profitably.

 

AE Smith looked at several different solutions but due to the integration, simplicity and price, Altec became a main contender for a paperless solution. WennSoft was instrumental in providing access to the right people at Altec, arranging doc-link demonstrations and speaking with other users of doc-link before a decision was reached. Altec provided a consultant on site for a full week to ensure training and the implementation went smoothly, says Ross Cochrane, General Manager Finance, AE Smith. He added, The follow-up support has been excellent.

 

The original purpose for doc-link at AE Smith was for the Accounts Payable department and providing invoices to customers via email. However, with greater exposure to the full capabilities of the solution, they now also workflow AP invoices through doc-link and automatically email customers their invoices every week. Because of this increased efficiency, they will be exploring attaching other documents in emails to customers that are pertinent to invoices and enhancing the customer experience. With an eye to the future, AE Smith foresees using doc-link for more functions such as approval processes for GL entries. They also plan on integrating with theirSharePoint database in the following 12 months to leverage additional efficiency.

 

Even though there is no physical presence of Altec in Australia, AE Smith is very pleased with the support of the entire doc-link team and claims they receive better support for doc-link than some local providers give for software already in use. With a payback in less than a year, doc-link has an excellent return for a software solution, states Cochrane.
