Sharing your story on LinkedIn

Let’s face it; we live in a world of constant change. Today it is cloud computing, mobility, big data and information management services. Who knows what the next five to 10 years hold in store for us.

As I look back to when I first started in sales 27 years ago, there were no computers, no smartphones, no CRM (my CRM was my index file box) -- just a plain old phone on my desk. I used the phone to tell my story in order to set appointments.

Fast forward to 2015 and LinkedIn is now the most common outlet within the sales world to share your story. What your prospects want and how they want to receive it is changing. As sales professionals, we must embrace LinkedIn as that outlet.

Here a few thoughts to help guide you to your LinkedIn story:

1. WHAT IS YOUR VISION MOVING FORWARD? This could translate into your value position, what you want to be, who you are, what you do and why you do it. Sit back and reflect on this.

2. CRAFT A PLAN How are you going to incorporate the use of LinkedIn to define how you work?

3. CREATE DIFFERENTIATION Share with your audience why you are different. What do you provide that no one else does?

4. FEATURE SKILLS What new skills or competencies have you developed? Sharing this can position you as a subject matter expert. Incorporating the use of LinkedIn within the sales process to tell my story is a passion of mine.

ACTION PLAN I have been blessed with the LinkedIn bug. I encourage you to step out of your comfort zone and hop on board the LinkedIn train to capture more new opportunities.

Here are a few thoughts to help with your LinkedIn action plan:

Study your customers. Why do they do business with you? Interview your friends & family. Have them describe you and your character makeup. Interview your management staff. Use this to incorporate your work ethic and business style. LinkedIn is not a trend. LinkedIn is a vital part to help define who we are within this crazy world we called sales. Take calculated risks in order to grow and remember to always aim high.

HIPAA and cybersecurity: Is encryption necessary?

Cybersecurity remains an uphill battle for all fields. Healthcare has remained a high priority, due to the highly sensitive information generated and stored by organizations within the space.

HIPAA, or the Health Insurance Portability and Accountability Act, has helped healthcare providers secure information about their patients and clients and remain ethical in their practices. However, there's been some disagreement over whether or not HIPAA's requirements should include encryption.

Cyberattacks and their effect on the public

Encryption is a basic cybersecurity measure to deter hackers from accessing sensitive information. Email encryption has been especially popular thanks to its capability to scramble information being transferred between businesses. It was revealed that Sony Entertainment did not have encryption in place when it was hacked, and later on, executive emails were released to the public.
Most recently the Anthem data breach has made many question how effective encryption would be as a HIPAA requirement. Anthem's cyberattack potentially compromised 80 million individual's' identifiable information, according to HealthITSecurity.com.

The source went on to describe how data encryption was defined as only an "addressable" aspect within HIPAA, and healthcare providers need to determine for themselves whether or not it's necessary. This is disconcerting since encryption has become a basic necessity for companies outside of the healthcare industry.

The action being taken for HIPAA

According to Business Solutions, a Forrester report found that over 40 percent of healthcare employees aren't using full-disk or file-level encryption tools in the workplace. These concerns led to federal officials stepping up to make major changes to HIPAA.

"Patients, hospitals, insurers - and all Americans who value the safety and privacy of their sensitive personal information - have a right to be alarmed by reports that their electronic records might be vulnerable to a cyber attack," United States Senate Health, Education, Labor and Pensions Committee Chairman Lamar Alexander said in a statement. "I look forward to working with Sen. Murray as we take a serious look at how these types of attacks may be prevented and examine whether Congress can help."

Officials used Anthem as an example of what encryption could have prevented, but according to The Associated Press, Kristin Binns, PR representative of Anthem, said the Anthem hacker had an administrator's ID and password. The organization typically encrypts exported data, but any kind of encryption would not have stopped a hacker with the password and administrator ID. However, it wouldn't hurt to have encryption in place.

The past and future of HIPAA

In 2009, cybersecurity was not as important as it is today. The closest requirement for encryption is derived from the HITECH Act, which requires the disclosure of any breaches that affected 500 people or more. The act also had an exemption for companies that encrypted their data.

Cyberthreats have become prominent over the past few years and are no longer considered entirely preventable. Businesses have to prepare themselves against threats by implementing cybersecurity measures such as email encryption, firewalls and antivirus software.

"We should be doing everything we can to make sure that personal and private information is protected from the growing threat of cyberattacks, and this is especially true when it comes to healthcare," Ranking Member Patty Murray of the Senate's committee said.

Politicians, including U.S. President Barack Obama and United Kingdom Prime Minister David Cameron have both discussed cybersecurity measures for their respective regions. For all industries, the definition of cybersecurity and its regulations will certainly be changing. The best thing all organizations can do is to develop their technology security plans and look out for future changes.

Sharp "The Good, the Bad, and the Ugly"

Back in the mid to late Eighties, I can remember always getting my ass kicked by Sharp systems.  Even better, if you owned a Sharp dealership you were in play to be bought by Alco Standard (January 1997 Alco Standard split in to two companies with one becoming Ikon Office Solutions).  It was no fun having to compete against an Alco Standard Dealership.

However, there is always change in every industry, sometimes that change can be good or bad.  In Sharp's case it was bad when one day Ikon decided to dump Sharp.  That day, was a day that changed our industry forever.  Sharp had no Direct Channel back them, Alco aka Ikon was on a buying spree and acquiring many Sharp dealerships. That one day served as a wake up call to most copier manufacturers, that they needed to control their distribution, which eventually led to every manufacturer having their own Direct Channel in the US.

Today, Sharp Corp is back in the news with an anticipated $256 million dollar loss. Back in February of 2010, Panasonic announced that they were getting out of the A3 copier business).  Panasonic did reinvent itself, focusing more on high tech car parts and energy efficient homes.  They moved away from Smart Phones, TV's and copiers!

In recent stories from various new agencies it's been speculated that Sharp will not sell it's display business unit, in addition it was reported that they are not considering exiting the solar battery or home-use LED businesses.

All has remained quiet about the copier business unit, maybe no news is good news?

In May, Sharp will present a new business plan that will allow them to borrow even more from Japanese banks.  It is speculated that the new round of borrowing will be a debt equity swap.

I can't see how a company that is so mired in debt would have the funds to continue a quality rate of research and development.  Especially when it comes to imaging equipment. Why, focus R & D on a business channel that some analysts state is on the decline.

May will be here before we know it, if I were a betting person, I would bet that nothing will change.  Sharp will continue to be Sharp. Sharp will still be in business, Sharp will continue to manufacture copiers.  But, if you're a Sharp dealer is that what you're looking for, everything to stay status quo, especially when our industry is continuing to change?

Services led industry, workflow, business processes is the wave of the future.

Our industry needs consolidation for the manufacturing of copiers, there are too many players, and lets face facts, we're all stealing business from each other.

Share The Wonder of New Technology With Your Prospects and Clients

Yesterday I joined Tim Cook in child-like wonder as he demonstrated how to answer a phone call on a watch—something I’ve wanted to do since I was a child. It was a simple and powerful moment.

Of the long list of incredible things an Apple Watch can do, answering a phone call is somewhat of a footnote. However, during his keynote Tim paused and shared the amazement of being able to answer a phone call on his watch. And the audience shared in the emotion.

Today, I’m heading to the ITEX Show. (Check out our Power Hour on Social Media and Sales Thursday at noon.) One of my favorite things is browsing the show floor and seeing the latest technologies in action. But sometimes, I think the dizzying pace of technological innovation leaves me numb to the amazement. When you look at the long list of features in any new technology it’s easy to glaze over.

For those of us in sales and marketing, what we need to realize is that people are looking to us to be amazed.

How many product launches did you sit through in the last year? Did you leave with a sense of amazement?

You and I have the privilege of working on the cutting edge of technology. Our prospects, friends and family would love to be amazed.

As ambassadors of technology it’s our job to bring enthusiasm and energy to new innovations. This fuels connections and builds trust.

Whether you are in sales, marketing or customer service, find one new thing to be excited about related to the technology you sell. To help you get started, inside the office technology space, consider some of these simple but amazing things you can now do:

  • Scan and sign a document with a mobile phone (try DocuWare’s cool PaperScan app)
  • Pull up a web page or document on the internet from the control panel of an MFP and print it
  • Write notes with my Livescribe pen and have them wirelessly sync as searchable files in Evernote.
  • Answer business phone calls to my extension on a desktop phone, computer or mobile device
  • Have an I.T. technician in another office monitor my network and install software updates
  • Print in color with magazine quality at the same speed as black in white
  • Send a fax from my email
  • Print a document from my mobile phone
  • Plant a tree every time my office consumes 8,333 pieces of paper (see my friends at Print ReLeaf)
  • Scan and print wide format drawings from a job site
  • Access any document I need in seconds from my desktop, laptop, tablet or phone
  • Instantly see a caller’s record and social media posts in my CRM when I answer the phone
  • Print a Word or Powerpoint document as a folded and stapled booklet
  • Write a LinkedIn post on your iPad from a plane

The list could go on and on...

Here’s my challenge to you today:

Find one aspect of the technology you sell that you can be amazed about and share it with everyone you meet today.

Next, share your enthusiasm by commenting on this post: What technology are you excited about today?

Top Ten Copier & MFP Proposals for February 2015

I can' tell you how much I enjoy seeing copier proposals and quotes from around the country.  I especially like seeing the ones from my competitors!!!

What's included, what's not included, what rate factor they are using, the cost per page for color or black pages.  Then my favorite is the typo's, geesh if you're going to put out a proposal for heavens sake make sure you use spell check if you can't spell!!

Take a peek at these quotes and pricing.  Most were forwarded to me from Print4Pay Hotel members.  Keep in mind that a Print4Pay Hotel Premium Membership is only $117 for the year!  That's less than $10 per month, in addition to viewing all of the quotes you'll also have unlimited access to the entire site!!!      You can become a member here.

If you're not interested in shelling out a few bucks for a good cause (me), then email me to quotes and I'll comp you a one month Premium Membership.

What HIPAA does and how the healthcare industry has been complying

HIPAA, or the Health Insurance Portability and Accountability Act, has been a huge source of interest since cyberattacks became prevalent in the business world. Many people have argued that hackers will begin to focus on the healthcare industry, due to lack of innovation in cybersecurity affecting a variety of equipment.

HIPAA privacy and procedures

Both healthcare providers - such as dentists, hospitals, pharmacies, laboratories and health plan providers - and business associates are affected by HIPAA. The whole point of the act is to ensure that these entities maintain the privacy of sensitive records, whether these take the form of electronic documentation or paper reports.

The act also determines what can and cannot be shared by healthcare providers. For example, according to HIPAA, professionals can share confidential information if a life or lives are in danger. This was established by the Tarasoff v. Regents of University of California ruling. A psychologist was unable to warn Tatiana Tarasoff (due to confidentiality) that a man was planning to kill her after he confided his homicidal plans to the professional. The psychologist was unable to warn Tarasoff because of the laws in place, and she was murdered. Providers now have a duty to inform any third party that they're at risk of violence or a contagious disease. Not only does HIPAA keep people safe, but it may help those related to patients feel at ease. HIPAA allows healthcare clients to sign over professionals' ability to disclose information to friends and family, such as a patient's rate of deterioration.

HIPAA and cybersecurity

mHealth News reported how healthcare providers are increasing their use of laptops, personal devices and other forms of technology. This has made it easier to deliver prescriptions and inform patients about their health, as well as provide medicine in a fast, flexible and informative way.

However, use of technology in this industry has caused concern. There have yet to be firm regulations on what health care providers have to maintain in terms of cybersecurity. mHealth News mentioned that encryption for medical records is a gray area within HIPAA compliance, as the law only suggests professionals encrypt "whenever deemed appropriate."

A lack of encryption is extremely risky for digital health care records. Email encryption has become a basic necessity for those in the corporate world - since emails hold incredibly sensitive data, they are often the first channel hackers focus on to compromise electronic information. This was evident in last year's attack on Sony Entertainment, when executive emails were released to the public. The source insisted health care professionals encrypt information even though this is not yet a standard under HIPAA.

HIPAA compliance in the medical community

NueMD conducted a survey last year regarding HIPAA compliance among healthcare providers and found that only 58 percent of respondents said they had a HIPAA plan in place. Additionally, 23 percent said they had no plan at all and 19 percent were unsure.

This is bad news for many healthcare professionals, as HIPAA will be conducting Phase 2 audits this year to review both healthcare providers and business associates. Mike Sacopulos, CEO of the Medical Risk Institute, estimated approximately 85 percent of small to medium-sized medical practices have a deficiency in their processes, according to Physicians Practice.

Healthcare Dive suggested practices take action to achieve HIPAA compliance. Conducting a risk analysis of a practice to determine where there may be violations is a good first step. Then, further addressing OCR audit program protocol to be prepared for the 2015 audits.
Overall, HIPAA compliance requires properly training medical professionals. Supervisors should be open and willing to help those who feel as though they're behind in regulations and practices, and in turn, patients and staff will benefit.

Canon Business Systems Pulling a Ricoh

Heard from a friend who is a Canon dealer.  That dealer states CBS is dumping machines to his existing base and selling in most cases for 20% less than his cost!!

Also went on to state that CBS and Canon Dealers have no "Rule of Engagement" like Ricoh Americas.

I used "Pulling a Ricoh" due to many years ago, Ricoh Direct was attacking dealer accounts with the same tactic that I heard Canon is using. Personally, I lost some of my biggest accounts in the course of two years.

Ricoh now has a "Rules of Engagement", that dealers and direct need to abide by.  For that, I'm happy, however it doesn't bring back those accounts that I lost.

Keep in mind it was the Dealers that signed on with the likes of Canon, Ricoh, Sharp, Toshiba, Mita, Konica, and Minolta back in the late seventies and eighties, that built the channel.  Today, at least in my territory,  I have pressure from every manufacturer from the Direct Channel. Mind you, I'm not complaining, competition is good to a certain extent.

Are other Canon dealers seeing this from CBS?

5 trends that will affect the Healthcare IT sector this year

Trends are always affecting the healthcare IT community and this year looks no different with a variety of technological tools expected to become more popular. Cybersecurity is always important in regard to the cloud, the Internet of Things and big data, and since these elements are potential trends for this year, IT specialists will need to find innovative ways to make them safe.

Here are four IT trends that will be affecting the sector in 2015.

1. Privacy and security

There were a variety of cyberattacks that took place last year, and the fear of being victimized affects all kinds of industries and technology. IT professionals will be expected to step up their game in terms of finding innovative ways to secure data. Federal News Radio reported that the health care sector will be especially affected, as there may be changes to HIPAA. The source added that these adjustments may be widespread due to the millions of Americans that have signed up for health care coverage through the federal government. IT professionals can incorporate better security standards this year for companies by suggesting encrypted email as a start, as building up a security program for any enterprise always should begin with the basics.

2. The Internet of Things

The concept of integrating the Internet into products outside of smartphones and computers has become more prominent in the consumer world. It will continue to become a big part of the IT industry, as Information Age reported investment in the IoT will only increase. The source reported that the businesses are attracted to this tool because of its ability to expand corporate capabilities by improving value propositions and customer engagement.

3. The public cloud

Federal News Radio highlighted the public cloud as an up-and-coming trend. The government has been showing signs of becoming more favorable toward it, with new guidelines from the Defense Information Systems Agency outlining what information the Department of Defense can place within the public cloud. However, it is another tool that has been surrounded by controversy, as anything available so openly to consumers is considered unstable. That being said, with more research and regulations, the public cloud can become a stable tool for consumers.

4. Big data and data-centric decisions

According to Federal News Radio, decisions in the business world are increasingly dependent on data analyzation and insight tools. Big data has been one of these concepts, but this year, the government and businesses will take on data-dependent decisions more commonly. The source reported organizations are using more data processing resources to make better-informed decisions, with asset tracking, provisioning, monitoring, reporting and management of their products and customers.

5. Automation and streamlined processes

Time-consuming factors such as physical documents and invoices are becoming a thing of the past with automation. This year, automated tools will become more critical for companies to succeed. Although, when automation is more integrated with corporate processes, there will also be a need for the ability to monitor the entire infrastructure, so organizations will be looking for more ways to use automation safely.

These trends will give IT professionals the opportunity to innovate and prove themselves to corporations. In turn, businesses will have a variety of effective tools available to improve processes and employee productivity.

Five Items Spock Would Consdier Illogical About Purchasing or Leasing a Copier

Friday at lunch, I saw the scrolling marque that Leonard Nimoy had passed away.  Leonard was best known for his role as Spock in the original Star Trek series.

Like my mother, I'm a fan of science fiction and believing that one day everything that we've read and watched will come to fruition in our world.

Spock was from the planet of Vulcan and his species had developed a path of pure logic, in addition they were capable of extreme emotions but developed techniques to suppress those emotions.

Thus to honor Spock, I'd like to share a few things about the copier industry that Spock would raise an eyebrow to.

Most illogical about copiers

From Spocks mouth to your ears

1. Why is it that I can buy a small A4 MFP Copier/Printer/Scanner for $300 with built in wireless connection, yet to add a wireless connection for a mid size copier the wireless card is $400-$600

2. Your maintenance contract includes "x" amount of pages every month for "x" amount of cost.  Why is it that if I don't use those pages they are not credited to the next month?  I am paying for them, why must I lose them if I don't use them?

3.Wait, your NEW system is only warrantied for 90 days??

4.  You're telling me that if I purchase or lease the system and don't take a maintenance/supply agreement that I also need to purchase start up supplies?  The system does not come with toner?

5.  I've been contacted by four different sales people all selling me the same Ricoh system.  One is a Savin dealer, the other is Lanier, the third is Ricoh Americas and the last one is a Ricoh dealer.  Is there not such as things as protected territories?

Someone, somewhere once told me "that life if like a roll of toilet paper, the closer you get to the end of the roll, the faster it goes".

This History of the Fax Machine According to Art

Go ahead, you can do it, no one will see you. It's okay to hug your fax, if you still have one.

Funny, just today I was on an appointment and they told me about one of their principals that was still using a computer with a 3.5 floppy drive. He brought the disk to a meeting and one of the younger employee asked him what he had on his desk.  He replied that is was a floppy disk and the younger employee replied, "what is that used for"?  Poor fellow had no clue.

Fax will go that route in the near future.  My son's children will have the same reaction when they enter the work force if they get the chance to see a fax machine.

History of Fax (Condensed)

Facsimile "make similar", "make a copy" was invented in 1843 by Scottish mechanic and inventor Alexander Bain. He received a British patent for “improvements in producing and regulating electric currents and improvements in timepieces and in electric printing and signal telegraphs”, and the fax was born.

Alexander Bain's fax machine transmitter scanned a flat metal surface using a stylus mounted on a pendulum. The stylus picked up images from the metal surface. An amateur clock maker, Alexander Bain combined parts from clock mechanisms together with telegraph machines to invent his fax machine.

One of the main applications for fax was that of military use, when we demonstrated the technology we also spoke of how it was first used by the military. In fact the military adopted faxing in 1943 to transmit maps, orders and weather charts during World War II.

It was not until 1948 that the FCC authorized commercial use of fax technology, Western Union then manufactured 50,000 Deskfax machines for use at their offices. The first users of facsimile were newspapers to transmit and receive photos from around the world. The next user of facsimile were the weather services around the world.

Sixty years have passed since Western Union created the Deskfax.  Remember these words, fax is dead, there's no need for fax when you have email. I'll admit that email has taken most of the fax machines popularity away, however there is still some type of fax in every office, whether its a stand alone product, a modem in a pc or a modem in multi-functional copy machine. Need more info, the go here.

Fax Fun

What would we have done in the eighties with out the fax?  Any of you remember the Teli Vaxafax (made in Sweden). Nice looking product and we sold the value of Swedish technology.

I can remember some funny stories about faxing.  Back in the Eighties, we always ran across a rude "gate keeper" when we were telemarketing for copiers.  However, it was not wise to be rude or hang up the phone if we had your fax number (matter of fact, even if we didn't have it we would place another call and just ask for the fax number). We would then take a few sheets of letter paper and tape them together to make a long document, in most cases it was three sheets taped together. We would then dial the number, press the start key, once the paper started to feed (you had to remember that the early fax machines were very slow and only feed one sheet of paper at a time) we would then create a loop in the paper taping the end of the document to the beginning. We would then let the fax do its work.

What happened at the other end was that the fax would continue to receive the transmission until either the machine ran out of paper or the fax was turned off. Can you image coming in the morning and  seeing 500 feet of paper lying on the floor!

Well, it was funny back in the Eighties and we were young and dumb!

3 tips for being HIPAA-compliant in the healthcare industry

HIPAA compliance can be tough. However, with a variety of data security worries on the minds of many, it has never been more important, as the penalties for HIPAA violations are expensive. For instance, it cost two organizations nearly $2 million when two laptops were stolen, and Parkview Health had to pay $800,000 in noncompliance fines, according to Health IT Outcomes.

"Healthcare organizations are familiar with risk management," Eric Cowperthwaite of Core Security told the source, "but they aren't necessarily thinking about how they're going to be attacked. You may have a vulnerability management program. But the question is "How do you know which vulnerabilities matter? How do you know which possible attacks are likely - or not?"

HIPAA's purpose is to prevent vulnerabilities in sensitive medical information. Since records in the healthcare industry are overwhelming and rapidly moving toward being stored electronically, it's crucial for organizations to follow HIPAA and keep themselves on track with codes and procedures.

Here are three tips for organizations looking to be HIPAA-compliant:

1. Keep employees updated

Slip-ups most commonly come from those who are unaware of procedures. This means that workers' performance should be monitored and their knowledge about HIPAA compliance should be tested frequently. Training on tactics and procedure should be crucial for those starting out in the company. According to Diagnostic Imaging, there is, however, no guarantee of protection against state privacy claims, regardless of thorough training within the enterprise.

2. Report and respond appropriately

Any suspected breaches should be reported immediately, according to Diagnostic Imaging. HIPAA requires any breaches or complaints be inspected by a private entity and companies should prevent any information from being compromised if the breach was unsuccessful on the first try. After an attack, a firm should review policies and training to determine whether or not any deficiencies caused the breach.

3. Document and be timely

The source added that if a breach is reported late, the organization itself could be partly blamed for the compromise of information. HIPAA states that a lack of initiative to disclose information about a breach can lead to violations. Additionally, any action taken before and after a breach should be well documented. HIPAA requires healthcare companies to have certain documents on file for six years. These tips can help businesses have an easier time facing breaches and become HIPAA-compliant. While healthcare organizations may have greater restrictions on how they file their data and keep their information organized, HIPAA compliance keeps sensitive documents safe for patients and employees.
