DocuWare Cloud Solutions Ensure Business Continuity for Thousands of Remote Workers

~As the global work-from-home trend grows, so does DocuWare’s cloud customer base~

New Windsor NY, September 29, 2020 – DocuWare, provider of cloud solutions for document management and workflow automation, saw strong and consistent usage of their cloud solutions during and following the COVID-19 lockdown.

Since March of this year, workforces have gone remote and demand for document management solutions soared. DocuWare grew their number of new cloud customers by 24.3 percent compared to the same period in 2019. Those volumes have increased 50% and 30% respectively as of September, as even more organizations find DocuWare to be the perfect cloud solution for their distributed workforces.

“The type of document management solution most sought after right now offers secure document access and archiving but also enables real-time collaboration between remote teams,” says DocuWare president, Dr. Michael Berger. It is estimated that the global mobile workforce will reach nearly two billion workers by the year 2022.* This growing trend of businesses establishing secure work-from-home setups for their employees was accelerated by the COVID-19 pandemic.

In June of this year, DocuWare conducted a survey of over 500 US business owners/managers to evaluate how well they were supporting their mobile workforces. While 73 percent of businesses said they considered cloud-based tools “very” to “extremely” valuable during the COVID-19 pandemic, only 29 percent reported feeling completely prepared for their employees to work from home. By comparison, 18 percent of businesses surveyed felt they were “mostly” or “completely” unprepared for their employees to work from home; while 21 percent had not implemented any digital tools for remote work**. These are the types of businesses that make up DocuWare’s new cloud customer profile.

COVID19 Remote Working Day One Hundred and Thirty-Seven of Selling

I'm starting to lose track of days.  I'm not sure if this was Thursday or Friday last week that but our Governor extended his Emergency Order act for another thirty days.  Thus it seems that all businesses will not be back in the office for another 30 days.  In addition one of the counties that I cover had 40% of the overall daily cases in NJ.

At this point it's nothing I can control and I need to get going about my daily business of helping clients and finding ways to get clients to the finish line.

Not much has happened since I had that flurry of activity on Friday.  I've got verbal on orders for more than $60K.  In addition I just received another for $16K.  That's all well but it's time to get some ink on paper.  At this point I'm hoping to have four of them closed this week.

September Sales

September was a horrid month for me and thank goodness my month ended on the 23rd of this month.  Everything that I had on tap rolled.  All of those opportunities rolled for a number of reason and there was no commonality between them. What could I have done differently? Looking back I don't think there was anything I could have done to make things different.  Sometimes you eat the bear and sometimes the bear eats you.  That bear had me but good for September.

October

As of today I'm three days into the month and looking forward there are 22 work days this month with no holidays.  Combine the 22 work days and no holidays means the chances for going big this month can happen, My motto for this month is Make October Great!

Prospecting 

During this time of COVID19 one of my other activities is to hop on Linkedin to see if I can find any content that will help me with prospecting.  Prospecting has changed during COVID19 at least here in NJ.  The old art of knocking on doors will brings resistance in NJ and I feel it's better to change the way I'm prospecting.   

Today I was able to catch video from Connect365.  The video is 20 minutes in length but goes it some excellent content for prospecting (linkedin) and emailing cold prospects.  I'll probably have to listen to it a few times for it to stick, however at this point I've got all of the time in the world to learn more.

Also, don't forget, the Canon 6800 is 68B&W/ 16 Color . The Ricoh is 60B&W/45 Color. The Canon is "convienience" color like the old 1224/1232 and the new 3224C. It is made to do no more than 30% color against 70% B&W. the 3260C can be just a color copier if you want it to be. Not the 30% color stuff.

Is Ricoh resting on thier laurels for the 2090 and the 2105? These unit are fast approaching the year year mark since they were introduced. I spoke to the HV product manager almost a month ago and he said that there is nothing on the horizon for 6 months (I don't think he'd give me the right info as he does not care for the P4P Hotel). Has anyone heard of a new HV being Beta tested? Art

It's not related to the Ricoh or Plotbase software. Must be an internal setting since the same problem occurs when printing to an HP printer.

With regard to the 0.0062 for black on the Canon. The actual cost (toner inclusive) for the Canon is 0.003 vs 0.0042 for the Ricoh.

John, For basic printing you can use the HP 4L cups driver. Mac OS 10 runs on Darwin which is unix. The cups drivers work great for basic printing. If you need duplexing then you would have to add PS option. The only reason PS is need is because Ricoh does not write a Cups driver for the machines. I have 3 offices I use the 1515MF's in and none have the PS option and I normally print to them using my G4 Power Book and have never had an issue using the cups driver except no duplexing. Let me

I just downloaded a brochure from Ricoh, the brcohrue states that the print/scan controller is standard with the system. However pricing dated from 8/18 and the connectivity cafe says you have add the controller as an option! Did Ricoh screw up the brochure? Art

I just got a new laptop which has McAfee Security Center on it. I downloaded SDM for Client and some of the features don't work. when I am setting up Ricoh printers and it searches, it never pulls the list of printers up. What do I need to configure in both the SP Firewall settings and McAfee settings to allow this basic feature of SDM for CLient to work? Also, after I have loaded the RPCS driver, it never can see the accessories on the machines. I have to check all the boxes. I presume this is

Just in the last two weeks we have had one ship-out where the ARDF and Cabinet went straight to the end-user. On another order, the customer agreed to pay express charges to get it here as quickly as possible. Ricoh doesn't seem to know the meaning of express ship because it didn't happen. We tracked the order all the way to our door with a tracking number that ended up not having the machine as part of the shipment and when the machine did finally get here, it wasn't the S/P we ordered, only

That problem could be caused by a incorrect WINS server setting. Find out if there is a WINS server on the network your trying to connect. If so be sure to enter the IP adress (of the WINS Server) in the network settings menu in the copier. Without the proper information the copier will not be able to resolve the computer names on the network. Slim463

Thanks to all who responded. IKON closed them before we could overcome our VP's awareness of the rates in the world. Thanks to Jim for answering the BEI question. As a sales manager, and in order to be competitive, I believe I should be able to write orders at tne National BEI rate, and force service to adjust either parts usage, or effeciency, to maintain profitability. We only have a handfull of 90/105's in the field, and they all average under 150k a month, so our own data was bad when it

He said he's using OS 9 for client, Plotbase server must be XP or 2000 pro. First, how are you setting up the printer? I have not read the directions for Mac install, but I assume you would use "Desktop Printer Utility" to setup an LPR printer. The IP address is the IP of the machine, the Queue is the exact share name of the printer. Let me know what isn't working and perhaps I can help.

As far as the shrinking, that is usually an application problem. Windows image viewer and Adobe Acrobat both shrink apges by default. Make sure your application is set to print the image at 100%. You can usually tell if something is at 100% because it will run off the right side of the page. Remember that the SCAN is 8.5x11 but the PRINTABLE AREA is a bit smaller due to page margins, etc.

The one thing separating successful salespeople and others who are merely surviving or should I say, being complacent; is their desire to learn as curiosity ignites it.

Successful salespeople never stop learning. In turn, they translate their new understandings into innovative ideas for their clients. 

I encourage you to break out of complacent, default modes of thinking. Recycling old ideas with traditional sales approaches doesn't help you smash your targets or satisfy your clients.

I will also add since you mentioned wanting to do this on copiers/MFPs: our industry also needs to get the idea that MPS only has to do with printers A4 MFPs out of their heads. Output is output, our clients don't see any difference so why should we? Properly deploy what systems meet the client's needs (or just get rid of them if that is best) be of service in whatever way you can. Hell, our customers want all of this stuff to go away (just wait til the Millenials are in the C-Suite). Either

3 x 4.5 Inch envelopes

Anyone have any ideas for what machine (low end) we could placed to fit this need. It is a very small printer and these envelopes are printed for florists to go on arrangements. No, Art. You're spot on. I haven't had many jobs outside the industry, but the majority of the old guard is so proud of the way they've always done it & receives so much validation from other dealers with the same mentality (via BTA, CDA, SDG, et al) that they often refuse to admit the need to change until it's practically too late. There are ideas & concepts that I brought up 3-5 years ago that were considered to be "interesting but not really necessary" that we're suddenly latching...

Have you tried the generic PCL driver that is built into Mac's operating system? Just set it up as an IP printer and select "Generic PCL" from the driver drop down. It works with every Ricoh I've tried.

Does Xerox still have Xerox Financial Services? I think not, they subcontract to GE Capital? Is not GE Capital trying to get out of the copier business? Who does Canon use? Who does Ricoh/ IKON use? Let me further clarify my post. My understanding is this, Ratio Germany has filed for bankruptcy and no longer doing business. Ratio America is now its own entity and doing business seperately. They drive the Plotbase PM website and are selling Plotbase/Rip Cube etc. There is legal discussions that will allow Ratio to work with Ricoh. Yesterday while on site the end user informed me that if he printed the document to PDF from Indesign which will print the document to a file, then tries to print the original Indesign document, it will print. After creating a PDF but not printing that PDF but printing the same document in Indesign, why will it then print. Does it do something to the original document when it is printed to PDF, fix some errors in the document? When trying to print the original document in

I think if you look into it that you will find that you are mistaken. Their lease document says Ricoh but the rest of the document is either De Lage Landen (DLL) or GE. They used to use DLL almost exclusively but seem to be mostly GE now.

Partially correct...Ricoh Financial Services (wholly owned)still exists and is primarily used for Major Accounts whereas Commercial or SMB accounts are financed through 3rd party vendors, i.e. GE, DLL, etc.

We solved the problem. We changed a setting within InDesign CS5 from "Binary" to "ASCII". I do not know why this works since that same setting in InDesign CS4 is set to "Binary" but it fixed the problem. Much thanks to JasonR for taking the time to call me and discuss the problem. Not alot of people would do that and I really appreciate it. I have attached a screen shot of the change from within InDesign CS5. Feel free to comment on why this would have made a difference as I have no clue. John

COVID19 Remote Working Day One Hundred and Thirty-Five of Selling Copiers

Today was one of those days when you it was non-stop action all day long.  I finally finished up about 5 minutes ago with presenting an existing client a creative way to keep their existing copier.  (PM me for details)

I didn't receive any docs today but had two more clients that want to move forward with new MFP's.  One was an existing account that I've been chasing for two years and another is a net new for a small A4 MFP which had some decent GP in it.  Funny after I received the verbal for the net new I asked the client this "I know you received a lot proposals, and our entire correspondence was via email, can you tell me why you made Stratix your choice?"  I received my answer that was two fold with the least important being the brand of copier and the most important was how we would support the MFP and the client for the next three years.  

Over the years I've learned to be as thorough as possible with my quotes/proposals and try to make the transaction simple and explain the proposal in their language.   Thus I don't use our language for proposals I use their understanding of our business.  Which in most cases is very limited.  I don't use CPC, FMV, Clicks, ARDF, SPDF acronyms, I spell it out for the clients so that there are no questions about what those acronyms mean.  In other words I try to communicate with their level of knowledge about MFPs.  In this case it worked and all of the extra work was much appreciated.

I still have all of the other deals in a seven day cycle that I spoke about.  Hoping within the next seven days I can have $60K to Make October Great!

There was zero time for prospecting, inmails or emails today.  All of the calls and emails were focused on moving orders across the finish line.  Thus the last two days of this week made up for the bad beginning to the week.

I'm hoping by the end of tomorrow to have three orders completed and then perform follows up calls and email on the remaining 30 opportunities that I have open.

COVID19 Remote Working Day One Hundred and Thirty-Four of Selling Copiers

On Monday of this week which was day 132 I wasn't in a good place.  All of the hard work that I put in wasn't going to come to fruition for September.  All of the calls, emails, inmails, posting content on Linkedin and my own Jersey Plotters site just didn't get me to where I wanted to be.  

It was the end of a quarter and a quarter that I had a decent shot to rack up some bonus dollars. In the end I finished with one of my worst months in the last six months. Hey I can only chalk it up to as sometimes you eat the bear and sometimes the bear eats you.  The only saving grace is that I have a huge funnel going into the last three months of the year.  

I want to finish the year strong, I want that bonus, and I want to get to another Presidents Club trip.  But more importantly I want to prove to my-self that I can still hit my numbers in middle of arguably the worst crisis our industry has even seen.  It's dedication, it's pride, it's determination and dedication that will drive me for the next three months

Each one of these blogs I posted on Linkedin with a short snippet with one of the paragraphs I wrote about.  Monday's blog seemed to hot a note with many of my connections in the industry.  Just thought I'd like to share some of those with everyone tonight.

Thanx to all of those that took the time to post a thread for the blog.   I was especially fond of the thread Pamela posted.  I was also thankful that she noticed the writing and the content is real, there's nothing made up and we're all in the same struggle together.

Not going to write about today, but I will write about yesterday for a few more paragraphs.

I had three virtual appointments yesterday.  One at 3PM, one at 4PM and One at 4:30PM.  One was net new and the other two were existing clients.  The net new ghosted me, however I had a call/meeting from an existing client.  That call went rather well, I had submitted a proposal for 4 devices two months ago, however I was told this wouldn't have legs until the second quarter of 2021.  Turns out they are going to move forward in the next two weeks with four devices that should add up to $32K.  It's going to be in three segments and the first one came over today.  

My 4PM call went well but no order, the DM stated they were getting another quote and was hoping to have it by the end of this week.  I was also told that they would get back to me with the brand and model to see if they are comparing apples to apples.  Just that statement told me pretty much that I'm in the drivers seat.  That's a $7K deal that feel pretty good for the next week.

My 4:30PM meeting went well for knocking out a competitive device in one of my own accounts.  After reviewing the virtual proposal the DM gave the verbal to move forward with two devices for a total of $18K.  Those docs went out this AM.

Then a late night text and call with a net new brought a $12K deal to life also.  Those order docs went out to day also.

I don't count deals until I have them in hand but it all goes well in one weeks time I can make up for September and might be able MAKE OCTOBER GREAT AGAIN!
