Transform Your Sales: Speak Clearly, Concisely, and Connect Deeply.

The adjectives you habitually use in conversation are powerful indicators of your character.

They reveal your perceptions, values, and attitudes, providing a window into who you are as an individual. By paying close attention to your language, you can not only understand yourself better but also enhance your communication and relationships with others.

Language choice becomes a window into your character.

What adjectives are you using when engaging in conversation with your clients?

I believe many in sales are not paying attention to the specific words they use. These words get spewed out automatically as you expect them to accurately convey a message.

Curious, have you ever given thought to how your clients feel with your messaging and communication?

Words matter and so does your messaging.

Mark Twain once observed that “the difference between the right word and the almost-right word is the difference between lightning and a lightning bug.”

In other words, he believed that effective writing and communication should illuminate ideas, much like how lightning illuminates the sky, as opposed to merely flickering dimly like a lightning bug.

Are you illuminating your client conversations?

I'm a firm believer that you must use your words wisely.

Being clear and concise with your words does matter.

With trust being anemically low, you can no longer take communication for granted.

Just because words are coming out of your mouth doesn’t mean your point is getting across.

Think about how this applies to environments where relationships matter, it’s worth being intentional with your words.

In a world where first impressions mean something, where trust is low and credibility matters, I ask... How are you expanding your vocabulary to effectively connect with your clients and future clients?

POLISH YOUR VOCABULARY

"Words are singularly the most powerful force available to humanity. We can choose to use this force constructively with words of encouragement, or destructively using words of despair. Words have energy and power with the ability to help, to heal, to hinder, to hurt, to harm, to humiliate and to humble."

Each word you choose has the potential to create ripples of impact, for better or for worse.

By being mindful of your language, you can harness the power of words to build a more compassionate and understanding environment for your clients.

The language you use becomes a powerful mechanism in shaping both individual and collective perceptions and attitudes. Now, think about how this applies to trust building.

You never know when one word, one sentence or one paragraph can positively affect someone's day. On the flip side, failing to pay attention to the words you use may negatively impact their day, their thoughts or how they feel about you.

You must align your words, voice inflection, tonality, eye expression, and body language, in an honest exchange. This is what Selling from the Heart is all about.

You must become disciplined to speak in a manner which conveys respect, credibility and humility.

Polishing one's vocabulary is the sign of a mature sales professional.

Thich Nhat Hanh, a contemporary Buddhist monk, global peace worker, and the author of, Being Peace, shares... "Speaking honestly in any negotiation between individuals or groups is necessary. Speaking the truth in a loving way is also necessary."

Hahn goes on to say, "We must be 'lovingly honest'; we must discipline ourselves to speak in a manner that conveys respect, gentleness, and humility."

Speaking with respect, gentleness, and humility can lead to stronger, more positive client relationships.

Let's pause for a moment and reflect on how society in general views the sales world...

I ask you to think about how you're carrying yourself, the words you're using, the messaging you're using, and how all of this might be connecting or disconnecting you from your clients.

WORDS AND MESSAGING ARE LIKE SEEDS

You're responsible for how you communicate, the words you use and the messaging that you use.

Napoleon Hill once said, "Think twice before you speak, because your words and influence will plant the seed of either success or failure in the mind of another."

You have a choice in the kinds of words you use.

Proverbs 18:21 states, “Words kill, words give life; they’re either poison or fruit—you choose.”

Those salespeople who speak with care will be rewarded.

When you consistently plant the vocabulary seeds of professionalism, you will reap a fruitful sales life.

To quote Robert Louis Stevenson, "Don't judge each day by the harvest you reap, but by the seeds you plant."

This is a powerful reminder that you must focus on the process of growth and the value of your daily efforts.

In prioritizing the seeds you plant, your actions, intentions, and mindset soon starts to cultivate a fulfilling and meaningful life.

How you're communicating with your clients? What may be going on in their world? What can you do to build them up and to provide them comfort in knowing you can help?

I encourage all of you to plant the biggest seed of all, and this would be the seed of being impeccable with your words.

In Don Miguel Ruiz’s amazing book, The Four Agreements, the first agreement is to be impeccable with your words. This means that before you speak, you choose your words carefully as they have the power to create or destroy.

Be thoughtful about what you say and how you say it. Every time you open your mouth becomes an opportunity for you to stay true to yourself and what you value.

I believe that using plain simple language removes the barrier between your clients, your future clients and yourself.

Crystal clear and simple language sets you apart from all the other salespeople. This allows you to move from communication to connection. And isn't this what you want?

Clarity in communication enhances understanding.

Clear communication reduces the chances of misunderstandings. When you convey messages in a straightforward manner, the likelihood of confusion diminishes, allowing for better comprehension.

Was Oliver Wendell Holmes, Sr. onto something when it came to communication?

Back in the 1800's, he surrounded himself with the literary legends, such as Ralph Waldo Emerson, and Henry Wadsworth Longfellow. Together, they left a massive imprint within the literary world of the 19th century that flows right into the present.

Why am I bringing this into this message? Because of another one his quotes...

"Language is the blood of the soul into which thoughts run and out of which they grow."

It doesn't matter if you're a well-seasoned salesperson, sales leader or you're just starting out your career, the language you use, how you communicate it and how well you engage in meaningful conversations are foundational skill sets you must master to catapult your sales career.

If you want to elevate yourself to new sales heights, you must zero in on developing your conversational, people and relational skills.

SALES JARGON, COMPLEX WORDS AND PROFANITY

Using jargon may temporarily create an impression of sophistication or expertise.

The reliance on complex words and elaborate language leads to superficial communication, where the meat of the message becomes lost in the complexity of the words.

What's concerning is how many in sales use the same, overused sets of sales jargon to describe situations as a replacement for just speaking plain old normal language.

Are you using simple and straightforward language to connect with your clients?

We live in a world where people love using profanity to drive home their points.

They insist this is part of their authenticity. They insist this is being true to who they are.

Profanity might be what the cool people like to use, however; I urge you to think twice before dropping that F-Bomb or S-Bomb.

Whatever the case may be, I urge you to build your vocabulary by reading and studying so that you can express yourself simply and eloquently.

Empty suits cover up their lack of understanding and experience with science, jargon, and overly complicated sales phrases, all because they think it sounds good.

All this does is confuse, alienate and distract you and your clients from business betterment.

You can't hide behind simplicity.

Salespeople and yes, even sales leaders... Your clients deserve plain, simple and easy to understand language when communicating with them.

  • Simplicity gets your message across.
  • Simplicity is understandable.
  • Simplicity requires less time to explain.
  • Simplicity separates sales reps from sales professionals

When you use unclear and overly complicated cliche ridden sales jargon this reflects upon you with unclarity and canned thinking.

CLEAR AND SIMPLE LANGUAGE, IT'S A GAME CHANGER

Language connects people, and it nurtures connections. It allows us to form, build and grow relationships, whether personal or professional.

Language is more than just a means of communication; it is the glue that holds relationships together. By embracing the power of language and the words you use, you can foster deeper connections, enhance understanding, and build strong layers of trust.

Albert Einstein once said,

"If you can’t explain something simply, you don’t understand it well.”

Just have to be real for a moment... many in sales are using jargon fueled and convoluted language to mask a lack of understanding. All this does is create the illusion of being an expert. What ultimately happens is this gets you called out as being an empty suit, as this only hinders effective communication.

When salespeople struggle to explain something simply, it may indicate they're not entirely comfortable with the material. All this does is lead to confusion rather than clarity.

Using plain and simple language is not a sign of sales weakness.

In your conversations, the only thing you can control is yourself, your behavior, and how you carry yourself.

Imagine how your client conversations could turn out by speaking effectively and listening consciously. You and your clients leave conversations energized, inspired and action oriented.

1018 Fax Option

I have a law office using this fax option. They want to have legal transmissions that come in reduced to letter. I have changed the bit switches that should make this adjustment but I have been unsuccessful in getting this to work. Attached is a User Parameters List showing the switches. Does anyone know how to make this work?

1) The best way from a company point of view is to bill by the hour. If you’re just installing a print or fax driver on one or two PC’s, this should not take long. However when you get into scanning to folder or email, you need settings that some customer have know idea what you’re talking about. This can take time, calling an ISP or outside IT person, passwords… 2) As art said, we sale blocks of time to the customer included in the sale. Let them know up front you have x amount of time for

Initial Fees for Connecting Equipment

Just curious, we discussed a couple of weeks ago how we were dealing with charges for being called back to reconnect or help customers with connected system after the intitial set-up. How are your dealerships handling the intitial set-up? Do you charge a flat fee, a graduated fee based on # of workstations? Do you charge to put faxes and printer drivers online?

Jim - I only get this report when I scream loud enough to our corporate office about backorders (like I've been screaming about the 240W). I will make available every time I see one. I think...our purchasing agent gets this info from our East Region Allocations people at Ricoh - I would think they would provide this info to anybody on an allocations list for backorders?

I haven't done a wireless setup, but for network, it was plug and play. I did have a problem the last time when I could not access the printer from the control panel. It showed up on the network and could print, but the 1515mf would not see it. Come to find out, the firmware card was not properly seated. It evidently had come loose during shipping.

We installed PD 5 in a law firm with an MPC6000. It installed well, took some tweaking (as I understand) to work with their software and accounting system as it is ProLaw and does not have tab delimited nor CSV. We just printed the customer list,scanned it in, and converted to an excel file and gave it back to get it into the system. The customer was aware of the quirks of their accounting system and, in the end, the customer is happy with this solution and we are looking forward to placing

In a sales world where many strive for conformity, embracing your uniqueness sets you apart and ensures that you're remembered.

I encourage you to focus on becoming irreplaceable. This not only enhances your personal brand, but this also enriches the environments you're a part of. Now, think about your clients and for that matter, your future clients, and their environments.

Psalm 139:14 states,

"I praise you because I am fearfully and wonderfully made."

This is signifying that God created everyone with unique characteristics, making no two people exactly alike; essentially, each person is "wonderfully made"by God with their own special qualities.

As we apply this passage, my question to all of you... Why do so many in sales walk, talk and act the same? Isn't this interesting?

Embrace your strengths and weaknesses, and do not succumb to the sales sea of sameness.

The sales world is full of mediocrity. Unfortunately, many are swimming or should I say drowning in the vast ocean of sameness.

Y'all might think you're bringing something different, but the real question lies here... Do your clients or future clients believe that you're bringing something different?

Are you being remembered or are you being forgotten?

As we kick off our time together, I must ask... How hard would it be for one of your clients to replace you with an alternative provider?

Simmer on that question for a moment. Because it contains a massively powerful lesson.

Imagine being so utterly valuable to your clients that they send competitors away, uninterested in hearing about their lower prices, better deals or pearls of wisdom.

What are you doing to become downright irreplaceable?

One makes themselves irreplaceable by building trust. They’ve earned that trust by doing phenomenal work over the long haul. They've earned trust by being extremely reliable, someone their clients can count on, and most of all, they are heart centered.

I believe you earn and re-earn being irreplaceable. Yes, you heard me correctly. You re-earn it. If you earn trust and then lackadaisically assume you’re permanently irreplaceable, you’ll soon be replaced by someone who out maneuvers you.

Taking a casual approach to your clients causes client casualties.

Therefore, every interaction with your clients should be viewed as an opportunity to increase your value and status.

IRREPLACEABLE

Becoming irreplaceable is not an overnight achievement; it requires dedication, continuous improvement, and a proactive approach to your personal and professional development.

In today's sales world where there is more competition, more options, and even more distractions, the question for all of you... How do you continue to maintain your clients’ attention?

This Coco Chanel quote is spot on,

"In order to be irreplaceable, one must always be different."

The pure essence of being "irreplaceable" lies in your courage to be different and to embrace your individuality. Recognize and value your unique traits. In a world that often encourages conformity, being different is a powerful way to make a lasting impact.

You become irreplaceable by getting crystal clear on your client's vision. You make this a commitment. You do this so you can get out in front of them and be ready when they get there.

Irreplaceability... This might be your mirror moment.

To be irreplaceable means to possess qualities or attributes that are so unique, valuable, or essential that they cannot be substituted or replaced by anything or anyone else.

Now, think about client attrition? Do I have you thinking a bit about becoming irreplaceable?

You must become open minded with embracing your unique self. You must set aside the cookie cutter sales personalities, practicing common actions and molding yourself to be similar to what you know to be safe, that of all the other salespeople.

GIVE A RIP, BECOME IRREPLACEABLE

I encourage you to value your skills and what you bring to your clients. Recognize your unique talents. Guard and protect your intellectual property. Start becoming hyper aware and mindful of how you present yourself.

To become irreplaceable, you must understand how your clients' business makes money, and then figure out how you can connect the dots and deliver them results.

This all starts with understanding them better.

The best way to understand your clients better is to ask them deep and meaningful questions, then close your mouth and let them talk. Intentionally listen to their responses.

What they share with you becomes your pot of gold.

This allows you to serve them better.

I believe when you create the mindset of serving your clients, then you’ll always have their best interests at heart.

Your client relationships aren’t about a mere transaction. It's about serving, helping, and creating business betterment for them.

Become irreplaceable by simply just giving a rip.

Giving a rip means you care enough about the relationship to become your client's library of knowledge.

You establish this by creating resources that your clients will value. You become their educator, their teacher, and their go-to when it comes to learning new things.

One huge way you can serve your clients is to stretch their thinking. Help them consider new opportunities that they haven't thought of before.

This means becoming their guide, their north star. This means supporting them. And this means serving them at the highest of levels, so they not only see your value, but also their own.



ARE YOU BECOMING IRREPLACEABLE?

The more you know about your clients, the more you grow with your clients.

Business author Roger Von Oech said,

“Things are changing quickly. What worked last week may not be the best way to solve today’s problems or the best way to take advantage of next week’s opportunities. The more we know, the more opportunities we can create."

Please focus in on the last sentence for a moment, as I put a bit of a sales twist on it.

The more you know about your clients and their business, the more opportunities you can create for them. The more opportunities you create for them, the more you become irreplaceable.

Helping your clients grow becomes mission critical to you building long-term, mutually beneficial relationships.

When your clients trust that they can rely on you for business growth strategies, they are more likely to invest more with you, give you a larger piece of their business and refer other businesses to you.

Building your client’s business leads to building your business.

Sales professionals intimately know their clients' business. They understand the competitive environment they operate within. They develop powerful strategies along with solutions to help them look forward so they can anticipate and prepare for new business challenges and opportunities.

They are relationship connectors. They go the extra mile by making connections for their clients with other individuals or groups within their network that could become helpful to them.

They do all this because they care. They do this because they give a rip.

This is how you become irreplaceable.

ENTRENCH YOURSELF IN YOUR CLIENT'S BUSINESS

Your next mirror moment is right now.

Are woven into the fabric of your client's business?

Please think about what I just asked you. Deeply stew on it. Curious as to what you're thinking about right now?

A true Selling from the Heart professional becomes entrenched in their client's business by opening the business hood.

They ask them thought provoking questions encouraging them to investigate the good, the bad and the ugly within their company.

I encourage you to constantly and with consistency, acquire new knowledge to remain relevant and ahead of trends.

Use this knowledge to creatively develop new ideas. Use this knowledge to bring new insights. Use this knowledge to help problem solve.

  • How can you apply institutional client knowledge to build, grow and enhance your client relationships?
  • How can you become an integral part of your client's business?
  • How can you become irreplaceable?
  • How can you not be viewed as a commodity?

I remember the one deal and how could I forget, the owner of the company told me, "I will never ever buy a Ricoh". During the last 8 months I sold him an MP EXPRO1157, a used MP EXPRO1357 and an MP C6502!

Wow...they also make HP's e-Print. I wonder if they're doing this to lock other manufacturers from using the technology or to build up valuable licensing revenue. Despite Samsung's constant battle with Apple (both for market share and in court), Samsung makes chips for a lot of Apple products, so they have no problem taking competitor's money for use of their technology.

10 years ago, I sold two 45 cpm colour copiers to one law firm both located in the same copier room. I named them Bert Ernie and even put stickers for the same on each copier. The grouchy law firm after about a month asked me to remove the stickers and give each copier an IT asset name. They found it difficult to relate to a copier with a name. I have not named copiers since.
