3 Things IT Departments Can Kiss Goodbye with Managed Print Services

Managed Print Services, also known as MPS, are companies that provide an array of office printer services designed to oversee an organization’s printers, scanners, fax machines, and photocopiers. They help businesses save time and money while boosting output and security by tracking consumption, ordering supplies when they run low, and handling all the company’s printing requirements.

How much time IT spends on printers

Without the benefit of a MPS partner, printer management and operations often fall to the IT department – and they feel the pressure. On average, fifty percent of calls and requests to the help desk are printer-related. Each of those calls takes around twenty minutes to answer. So if the IT department receives a hundred calls or help desk tickets daily, around fifty of those will be about the printer. At twenty minutes a call, that would be over sixteen hours spent resolving print questions.

With MPS, IT departments can save a massive chunk of time and energy. Here are just three things IT can happily pass along when partnering with a MPS.

No More Installing Print Drivers

Outdated print drivers are a common issue for employees attempting to print. In many cases, IT departments must schedule time after-hours to do widespread updates. Then there is always the handful of employees who need a time specifically arranged. Finally, there is the issue of print driver update timelines. There is rarely a schedule of upcoming changes, and taking too much time to arrange company-wide installations can lead to an increase in printing problems.

Some companies let employees authorize operation system and printer driver updates. Yet, even these concessions do not take the problem one hundred percent off IT’s plate. User error can quickly result in serious issues and an influx of help desk tickets or calls.

MPS partners eliminate most concerns about print driver problems. For example, managed print services utilize cloud-based printing services, reducing the work on printer server maintenance. In addition, cloud management usually provides a single print driver with back-end support that helps push updates without the need for scheduling or interference from IT.

Added Protection from Security Risks

Nearly three-quarters of IT managers in the United States have experienced data losses due to unsecured printing practices. Yet, only thirty-three percent were confident their print infrastructure was secure, and printers worldwide remain vulnerable.

Today’s consumer, wi-fi-connected printers are especially problematic. With built-in hard drives and practically no onboard firewall or security software, they are easy targets. Hackers can use these printers to open the door to a wi-fi connected computer. In addition, hybrid and remote offices may be the most susceptible to unsecured consumer printers. These potential issues only exacerbate the already worrisome trend of data losses from main office printers.

Fortunately, MPS can help offices maintain better printer security in both traditional office settings and the new hybrid-style workplace. The latest small-footprint networked printers and mobile printing applications are just two ways to improve remote and hybrid printing security.

Providing networked printer options reduces the risk of unauthorized consumer printers while providing point-to-point protection. MPS programs use the printer network and their software systems to monitor printer activity and keep the printer systems separate from the company’s back end.

Print Maintenance can be a Breeze

In most organizations, IT teams are responsible for managing all the printers and ensuring they are in working condition. When there are printer errors, the IT team is expected to identify them, keep track of error codes, and determine solutions for each problem. When the printer problem requires parts and physical repair, the IT team is usually in charge of scheduling service and even monitoring technicians while they are in the building.

Back when carbon paper was the thing every office used, and it was getting less and less, it was the age of the copier/printer. I started a career with Lanier Worldwide, of course back then it was called Harris/3m, and it is known today as a subsidiary of Ricoh. The industry has not changed very much, in the sense that it stills sells the means to put dots on paper. Just got this from a friend who is a Sales Manager..."Things ARE a bit different here… Although we are and will be Hughes-Calihan, it is now a wholly owned subsidiary of Konica Minolta. They will be closing the direct KM branches in AZ and NV, and folding them into us in April. We no longer offer Lanier… This is pretty big news. They are (were) a very big Lanier Dealership with 6 offices in AZ and two in NV. Art, you may want to post this on the Konica Minolta Board.

MFP's to customers that liked doing wide format business with me. I also have a file with quotes from Ricoh, Savin, and Gestetner (now Lanier) dealers with ridiculous cut prices on wide format where I have had to gnash my teeth and walk away. On the follow-up, nearly all end-users were dissatisfied with their purchase, I even made money training a couple of them after the genius dealer couldn't figure out how to make it work. One guy even told his buddy to spend the extra money and buy from me

RBS in New Jersey especially the Reps that handle Ocean County, New Jersey. Too make a long story short, we were in a very competitive deal with Xerox for a 240W back in May. We sold a 240W with a one roll feeder and plotbase print n scan for a low amount (I needed one more to hit my quota). I did the deal, did the training and moved on. Five months later RBS walks in and told them and they put it in writing that they sold there last 240W with a dual roll feeder, plotbase print and scan

Plotclient WIN "Auto" order printing

PCWin has the ability to specify the order the pages will print; Auto, Standard and Reverse. If you print to the upper exit, all 3 ways will give you the results you would think with Auto being the same as Forward. When you print to the lower exit, Auto prints in reverse order and does not work. If you hold your mouse pointer over the pull down in PCWin, the message reads "Auto means reverse if face up, else forward". This would be true if you were printing to a tray off the back of the

You can get it from the Savin site. Your looking for the 2525/3030 (E-3000) PPD for the MacOS X (Ricoh calls it an E-5000 but it’s the same). No additional hardware is needed. I used it in a PC environment so I can’t tell you for sure it will work with a MAC but I don’t see why not. Postscript is Postscript. Good Luck.

Savin Downloads The engine in the CLP240d is basically the same as the c3535/c4540. So go to the color multifunction drop down and select the C3535/c4540(E-5000) click go. Scroll down to the Mac OSX section and download the PPD Installer. The ppd installer contains the "driver". Run the ppd installer on the Mac just you would to install any printer on the MAC. Basically the MAC thinks it printing to a C4540 with a fiery (postscript) but its not. It's really a CLP240d. As far as the CLP240d

It would make sense, it's obvious all other efforts to make inroads into the copier world have failed miserably and perhaps after seeing Xerox buying Global to finally make the down the street work for them, HP sees the light.

Just a word of warning, you would be fired on the spot if you sold equipment on the side while working for my company, regardless of who gets the maintenance agreement. Selling equipment for one company (you) while employed for another is a serious breech of contract and would not be tolerated with most companies. It really is no different than if you sold copiers for one company while employed for another.

CLP240d & Adobe Illustrator

Ran into a problem with a prospect printing to a Savin CLP240d where colors were incorrect. Printing from MAC OSX, Adobe Illustrator. Sent the file to my upline IT support and at first they were unable to recreate the problem. Then, they realized that they were using Creative Suite version 2 and the prospect has version 3. They were able to recreate the problem with version 3. Now they believe their is a shortcoming in the hardware and "they do not see any adjustments in the near future on this

Working, yes. Stumped, yes. You've got me puzzled at how to accomplish the automatic batch file renaming. I'm aware that there are various shareware and downloadable programs out there that claim to be able to do this, but isn't part of the problem that every fax will be laid out differently? So, then, you wouldn't be able to set a field rule for a zonal OCR. So back to being stumped. As for automatic capture, index, and filing with full rights, check out Prism Software's DocRecord. http

likely a trend that will continue. Albin, another large KM owned "dealership" out of Detroit has just purchased a small and failing KM dealer in South Bend. As a KM dealership here it should be interesting to see what effect they will have in the marketplace. I love the KM line, especially the 60ppm and up b&w and the color. We also have Canon, so we shall see.

If you have a signed contract and RBS quotes a lower price, you have grounds for a law suit. It's considered unfair business practices and tortuos interference. Your dealerships laywer should send a letter to Ricoh's legal council seeking compensation. The last thing they want is a lawsuit.

Try the E-5000 Fiery diver. I had a similar issue out of Adobe IN-Design and the color was much better with the Fiery Postsript driver. You will lose some features , like finishing, but it will print.

Legally Lanier/Ricoh will give Hughes-Calihan about three years of support. It doesn't leave Ricoh with many choices for dealers in AZ and NV. Ricoh is not exactly in love with IKON. Ricoh is currently building it's own direct branches in AZ and NV.

Art, I agree with the Professor. I have consulted with my father, who works in the class action lawsuit business, and he indicated we (independent dealers) may have grounds for a class against Ricoh Direct branches. The area is very gray but I don't think they want to hear that a large group of independents dealers are seeking compensation for questionable business practices. RBS is in our backyard now and they are very predatory with their pricing (and they deliver very little in terms of

I wonder if the plastic flipper inback which regulates print output (covers a sensor) has anything to do with it. Could be over-riding communication. Have them manually change the current postion and see what happens..just a guess !! Greg

Do they really have 21" and/or 15" roll paper available ? I would have them put 22" inch (standard and available) paper in and do a user define print size, making the defaults "auto-rotate", "middle-center" . Also do "maintain ratio" and "cut-select" to ANSI C, 17 x 22. Explain the benefits of an extra 1" border and you'll be fine. Greg

wideformat, you are so right. it is a completely different animal and most dealerships don't really do it right. I was with a dealership that was sold on marketing the wide format product and because of the way they set up the comp program the rep and the manager made the same spiff whether it was sold at retail or salesmans outcost. given that there was no incentive to do anything than just place the box.

Make sure that in Adobe Reader Page Scaling is set to None, Auto-Rotate and Center is deselected and Choose Paper Source by PDF page size is deselected. The application is overriding the print driver and messing you up.

You do not need a Fiery. In fact Fiery is not an option for that model. The Firey Driver is nothing more then a postscript diver with a fancy face. You can use it to print to a non fiery device if it has postscript installed. . It will work. I've done it in a PC environment. You will some lose functionality because of loss of bidirectional communication. I used it recently at a customer using a PC and running Adobe In-Design. I stock and sell 15" paper (for other plotters that are spindle - loaded) but don't move very much, partly due to the need to offset the roll and CAD page setup hassles. Most customers are content with 22" output. Ricoh users don't have any choice.

That Sucks. I can't say that we haven't seen screw-ups like that before where I am but the sales rep wouldn't be on the hook for the missing equipment. We have a specific return request form. If we fill it out correctly and it doesn't get picked then the reps in the clear.. Except any possible damage control with the customer. In spite of that ... Try to have a Happy Thanksgiving....

I have 2 customers that are looking to do half scale prints of their 30x42 drawings. I do not see 15" or 21" marks in our paper drawers and did not see those sizes in the 480W cassette drawers. Is there any way we can accomplish this?

Lets see, I'll try and make a long story short. Sold a new client 8 bp20's, 2 MP161's, 1 C 4500spf w.bookletmaker, 10 license of ecopy desktop. This customer had a c811dn with bookletmaker and an MP161spf, we had to buy out the lease, still with buying out the lease we made a tidy profit and had the c811dn and the 161spf to sell. We instructed our pick up company to pick up the c811dn and the 161, they went a few days later and got the c811dn and picked up the another machine (a fax not ours

With this I mean growth in your sales career, management or leadership career, or having meaningful relationships. However, the ‘outer work’ is a small part of who we are as humans.

The key to happiness is transforming yourself and your life through inner work

Question becomes... What does it mean to do the inner work?

Turning inward is freaking scary!

We all live in a rapidly and I mean rapidly changing world. Our marketplace has changed. Our communities have changed. Our clients have changed. Their clients have changed. Are you getting the picture yet?

Question for you... Have you changed?

It’s much easier to point fingers at something outside ourselves, it's the excuses many in sales love to dish out - (“those people,” “the situation or circumstance”) then to look inward and accept responsibility.

As a sales society, we’re largely fixated on the outer work. We focus on the stack rankings, where we are at quarter or year to date, key performance indicators, and number of new clients... starting to the get the picture?

Take a step back and realize that these are merely outer symbols. This does not reflect your inner world.

It becomes difficult to transform your sales career if you're unwilling to transform yourself

I love how Dr. Yvette Erasmus talks about inner work,

"Inner work brings light, compassion and awareness to the conscious, subconscious and unconscious realms of your being. It’s about diving inward: speaking to yourself, being in connection and dialogue with yourself, seeing yourself, knowing yourself, loving yourself."

Doing the inner is an emotional rollercoaster. It's hard, it's heart-breaking and it's surrendering yourself to the unknown.

It’s giving yourself grace to be called out, as you build yourself back up.

I encourage you to become your own Sherlock Holmes. Become interested in what grabs your attention and tugs on your heartstrings.

Stop looking in the dictionary for words that define you.

Getting to know yourself allows you to tap into the road of happiness as this is critical to your success. Your beliefs, your attitude and your daily routines are mission critical.

Understanding yourself means recognizing your shortcomings. It's about putting them on display for others to judge.

Yes, this means getting extremely vulnerable. This starts with looking in the mirror and saying to yourself, "This is me. This is the real me. This is who I am."

This is about your ability to ask yourself...

Who am I and who do I want to become?

What do I want for myself?

Why do I want to achieve these things?

How can I become who I want to be? And what actions do I need to take to achieve this?

If you struggle to ask yourself deep questions, then you will struggle to ask your clients deep questions?

BECOME COMFORTABLE WITH BEING UNCOMFORTABLE

Becoming comfortable with being uncomfortable is what ferocious self-honesty is built upon.

I encourage you to think about this one...

How can you become ferociously self-honest if you struggle to deal with any discomfort in your sales life?

Those of you who are willing to take risks, step out of your comfort zone and create some discomfort, will reap the biggest rewards.

Let this one sink in for a moment...

If YOU, can't challenge yourself to improve then how can you challenge your clients to improve?

What questions are you asking yourself daily?

The questions you ask yourself directly affect the sales life you lead. The questions you ask yourself literally determine what your mind focuses on, which triggers certain thoughts, actions, and inactions, ultimately affecting your sales results.

When you ask yourself empowering, deeply reflective questions, it shifts your mind to a whole new level and sets into motion the thinking and actions to jumpstart your sales life.

Sharp Update!! Intel may take a 30 billion yen investment in Sharp by the end of the month, the 30 billion yen is less than 10% of what Sharp expects to lose this year. There was also a report that Qualcom may also do something. A National Sales Tax is NOT a fair tax as it inordinately places a heavier burden on Middle Income and below since they spend all they make. Wealthy families (say $1,000,000) don't spend 20 times what a family making $50,000 spends. If we'd simply use the taxes rates in effect during Ronald Reagan's first

I’m done with Samsung as of about 10 minutes ago. Just lost a deal because of “Samsung being bought by HP.” Showed the client Canon, Monica, and Samsung and she liked the color quality of the Samsung the best. The End is.....

What's a beginning with out an end?  If there is no end was there ever a beginning?

I for one can tell you that the end is near......

All of the work at the end of 2021 and all of 2022 will come to an end in seven weeks for me.  For others it's a mere eight weeks to so to the end of 2022.

After 42 years, and yes I'm still chasing a number, it never seems to "end". Starting is good but I can tell you that ending is even better!

The great thing about endings is that you can always re-write your ending.  Of course having the ability to re-write the endings also means that you need to the time to put that ending together.  No time equals no re-writes, no re-writes means you're doomed.

It's interesting for me since I've lived and worked in the Northeast all these years.  Once summer ends I find myself devoting the extra time to make sure I have multiple ending options.  The fall season is perfect because it reminds you that as day light gets shorted and shorter so does the amount of selling days left before the end of year.

Thus, I have seven weeks to hit a personal number this year.  I'm the first to exclaim that net new business has been off for me this year.  All of the other metrics for the year are great, thus there is one more hurdle to jump and another hill to climb.

It's a personal thing for me, while others say be say don't get to wound, I say I've never achieved anything without being passionate about what I do.

Winter starts on the 21st of December and my year ends on the 23rd of that month.  Thus before the end of 2022, I'll be working on year number 43 for down the street sales.

Time is something is probably one of the most valuable items that you can't catch, trap or sell.  Time needs to be enjoyed and managed.  Managing time is probably one of the most important things in my life that I don't realize I'm managing.

I love this saying I wrote. I'd rather manage my life, than to let life manage me.
