How I'm using ChatGBT with Sales

I started using ChatGPT about a year ago. Here’s something I cut and pasted from ChatGPT: “Type, talk, and use it your way. With ChatGPT, you can type or start a real-time voice conversation by tapping the soundwave icon in the mobile app.”

It’s AI, and I have to say, ChatGPT has been my daily co-worker for the last six months. Many of my days are spent working from home, grinding away in copier/technology sales and support. I even gave my AI companion a name—Sadie. Kathy and I lost our mixed-breed rescue dog, Sadie, about four months ago after 16 wonderful years. Naming my AI after her helps keep her memory alive in spirit.

Grammar with Emails

At first, I used AI for simple tasks. As many of you know, I’m a copier sales guy at heart, and one of my weaknesses is grammar. Go figure! Since I enjoy writing, you’d think I would have paid more attention back in the day instead of sneaking off to smoke in the boys’ room.

When writing emails, I get the basics down and then paste it into ChatGPT (Sadie) to check for grammar, spelling, and rephrasing. I ask it to rewrite my drafts to give them a more professional flow, especially when prospecting via email. In just a few seconds, I have the polished result. After a quick review, it’s good to go.

Using Sadie to Research

There were days when I would spend hours researching competitive devices on the web. You could search for "KIP C740," and you'd be overwhelmed with endless websites—many of which didn’t provide the information I was looking for, and some were even infected with malware. Now, I use Sadie (ChatGPT) for all my research on competitive devices. No more sifting through sketchy pages and wasting time. In seconds, I have the information I need, though I always double-check it. I also use Perplexity AI to cross-check my findings.

Using Sadie for Side-by-Side Comparisons

What used to take me hours to create side-by-side comparisons now takes seconds. I can even customize the results by adding more prompts to tailor the comparison to my needs. Here’s one I recently created.

Digging up Dirt?

I added this prompt to the spreadsheet I created: “ARE THERE ANY BAD REPORTS ABOUT THE ALTALINK C8255?”

Response: The Xerox AltaLink C8255 generally receives positive reviews for its performance, but there are some reported issues to be aware of. Users have occasionally experienced print quality problems, such as streaks or lines, which may be related to specific colors or drum cartridges. Some users also mention issues with toner and image consistency.

I wouldn’t use this information in my pitches, but it’s always good to know about the competition.

ChatGPT has become my go-to source for research and assistance. However, if you need the real inside scoop on a device or multiple devices, it’s always good to post something on our site.

Interdependency – How Does it Affect You?

In the world of IT and cybersecurity, the term “interdependency” is used frequently when discussing the KPAs (key performance areas). This month, however, it struck a chord with us.

The Conversation

In our industry, interdependence is essential when different technologies work together and rely on one another to get things done. Take the internet, for example. All those different services are linked up and work together, each one needing the others to do their jobs properly.

As our team was discussing IAITAM’s (International Association of IT Asset Management) best practices for SAM (storage asset management), we came across the topics of compliance audits, preparedness for audits, and keeping a library of documentation to prove that you are complying with regulations or have documentation that diminishes your exposure to costly reconciliation fees or compliance fines.

One of the key areas of documentation was to have an accurate inventory process. This means not only surveying what’s active but also what’s sitting in inventory for either disposal or redeployment. Additionally, it’s important to look at the records of what is already imaged on those assets, documentation, and an audit trail or record of what has been dispositioned, Thus, bringing the concept of interdependency within our space.

How it Works

Due to the silo effect, many organizations have little communication between the CSAM (Cybersecurity Asset Management) & CITAD (Certification in IT Asset Disposition) departments. CITAD folks are always looking for ways to reduce their disposal costs and often they will decide to only audit and track hard drives that are being disposed of.

While capturing this info during the disposition process and getting a validation report from your vendor is a best practice, you will be leaving a huge documentation gap for your SAM team if you elect to forgo the audit/validation report from your disposition vendor. As a Hardware Asset Manager or ITAD Manager, you are trying to be responsible by controlling costs but in fact are creating a huge risk/liability for the SAM team to document compliance for software licensing on any asset class that requires software use tracking.

ITAD professionals are constantly grappling with the intricate relationships between different aspects of IT asset management, such as hardware disposal, data security, and regulatory compliance. The interconnected nature of these factors highlights the importance of recognizing and addressing the dependencies between them to ensure smooth operations and mitigate risks. As ITAD practices evolve and become more complex, the conversation around interdependency continues to shape the strategies and approaches adopted by industry professionals like us. All 12 of IAITAM’s KPAs operate interdependently, and we must open communications with other IT departments to ensure we are working as one team.

My customer prints to their Savin 4018d from Wordperfect 10. For some reason, they cannot print from the bypass, it pulls from the default drawer eventhough the print driver and page setup are correct. I've tried RPCS and PCL6 drivers. Is this a limitation with Wordperfect? Is there a solution?

Printing PDF's from Acrobat Reader

I have a customer who is scanning to PDF and when they open the document in Acrobat reader and attempt to print, all that comes out is a blank page. I had it working yesterday by unchecking the "print as image" box in the application print, but this morning they tried to print using 5.0, just a blank page. You can see the drawing in reader and in the print preview. I had it working yesterday! This issue is driving me nuts! They also updated their reader to 6.0 this morning and now the pages are

Ricoh definitely has this unit on the launch pad but I think it will be early 2005 according to my sources. This will finally be the "ricoh" replacement product for the antique 6513 and it will be an OEM product, not a Toshiba (aka AF3131) knockoff.

There were also some changes in the fax capabilities in the e version. If I remember correctly it had to do with the fax forwarding (tsi routing)to different in-boxes etc. Basically, Ricoh launched the 2035/2045, and then made improvements to the 2022/2027 series so they had to go back and update the recently launched 35/45ppm devices.

We used to use a media called "Fabrika" Tee-shirt Transfer material, when we were carrying the Toshiba Chromotouch copier. However, it was a wax transfer machine, didnt use a fuser. And a fuser is the biggest obstacle in this application. I mean these things rip up bad when using anything that turns sticky.

Setting this machine up in the shop today. All went OK after I dicovered a reversed connector on the control panel. I got it that the time zone here is -5 hrs from GMT but the daylight saving time setting look like they want me to input the start and end days in hex. The defaults are: Copier SP5-307-003 Start "41000010h" -005 End "10560000h" In the first place, dont we all start DST on the same day? And in the second place 41000010 hex = 1090519056./ What the heck is that?

6.0 shoulnt be the problem but it sure is bulky, I uninstalled it! But a blank sheet is usually a memory problem, which, I know, you tried "print as image" and that didnt work, if the standard tcp/ip is in use, consider a print server with lotsa memory. PDFs are famous for "missing"images.

If I remember correctly, the 2035e offers scan to folder w/o Scan Router when upgraded with printing and scanning. This is more important with the 4035esp (scanning and printing included). This is was one of the first 40 series generation to come out and SMB scanning wasn't available at the time. Most new units are e's.

you should read the paper weight specs on these printers and then instruct your customers that they will have to purchase new ones when they shred up. these fusers will not shred unless the wrong paper is being used

Customer needs to printing from accounting software Windows based "Sage"/"Timberline"), the customer wants the workorder (one page) to be printed twice, once from the top paper tray and once from the second paper tray and then stapled. For these models (bh C360 series), I noticed Konica Minolta once again separated imaging units into separate developer and drum units, but expanded this trend to color cons as well. KM separated mono imaging units with the C652/C552/C452 and the C200, but kept the color imaging units intact. In other news, Matt Espe (IKON) will be taking control of Ricoh, as President and CEO. I guess whoever said that IKON would begin to swallow Ricoh, was indeed correct. I once joked (April Fool's) that they were putting up an IKON sign at Ricoh HQ in NJ and taking down the Ricoh sign. They may not go so far as to make that cosmetic change, but the poloitcal change has just set sail. What will the Independent Rioch / Savin / Lanier Dealers think about this change? Time will tell.

The Ricoh Pro 907/1107/1307 series was officially released last week. This is the new, print only version of the Katana series and it's targeted at Data Centers. I would look into Fabsoft's Reform Print Driver. It captures the print stream from the user's application and allows you to apply "rules." I don't know if it will do what you need but it is where I would start. John, I don't know if this is still a live issue for you but I thought of you while reading up on the Fiery Controller Option for the C2800/C3300 and the C4000/C5000. In an FAQ Document under wireless printing options it states, "When printing from USB removeable media, the Fiery will print Postscript and PDF File formats. If the Fiery has internet access and the Native Document Conversion option (i.e. EFI PrintMe) then you can also print native Microsoft Office Documents from your USB..."

I can't think of any way to duplicate a page (that's not just a driver/print setting/printstream issue, that's wholesale re-creation of a page) without getting a package that will do much much more (and cost more than you want to pay). How about setting up two printers with different default settings and having them print twice? If they aren't willing to pay, they either need to be willing to take extra steps or relinquish this request.

I would suggest that you begin to think about vtaking on another Product Line. Being a sole-line 'Dedicated' Dealer with RFG is very daunting these days. Look to a manufacturer that offers a comprehensive Managed Print Services offering. Some of these manufacturers can even sell you the compatible supplies at discounted prices, so that you can provide a complete solution when winning a larger account and taking over a fleet of machines.

We just replaced a customer's Canon with a Savin MP5002. This is a large medical office which receives hundreds of faxes per day. There is the tasklfa 2550ci which is discontinued, or the taskalfa 2551ci. 2550ci doesn't have dsdp capability. 2551ci is much more versatile. There some other cool features.

Not so much. It’s such a weird deal, like trying to sell cars door to door. I usually say something like: ‘I was in the building seeing…whoever, and thought I would stop by and introduce myself and the company that I represent. Then I leave them with a flyer that shows a couple of different machines and monthly costs. I never got any training so would appreciate any suggestions that you have, Art.

The following is your sales light bulb moment.

Bob Hasson goes onto to say that this demonstrates trust, in that it says, "I'm not going to do anything to try and manipulate or control the way you see me or respond to me."

I strongly believe healthy conversation like this is mission critical to have to cause the people who really want to know you to trust you, my sales friends, this would be your clients and future clients.

Continuing on with "The Business of Honor",

"Assertive communication fosters trust, safety and belonging. Telling the truth especially difficult truths is one of the main things that causes the people who really want to know us to trust us."

I ask you to think about your clients, now reread the quote above.

Assertive conversations require connection. When we think of connection, let's refer to Brené Brown,

“I define connection as the energy that exists between people when they feel seen, heard, and valued; when they can give and receive without judgment; and when they derive sustenance and strength from the relationship.”

Your second mirror moment:

  • Do you believe in your heart that you're creating a space for your clients to feel seen, heard and valued?

Building authentic connections becomes the key to effective, long-lasting and meaningful client relationships.

Client relationships will become stronger as you learn to open up.

Without healthy conversations with your clients, where do you believe the relationship sits, really?

The struggle for many in sales is when you rely upon scripted questions, you usually get scripted answers.

Real conversations require complete participation. It requires you to be present. Genuine healthy conversations are invitations, an invitation to "what is really going on"starts to unfold during these conversations.

Question some of you might be asking yourself, "Larry, how do I achieve authentic, meaningful, genuine and real conversations with my clients?" My answer is quite simple, you let your guard down and stop acting like a salesperson.

START SPEAKING THE TRUTH

To quote, John 8:32,

"The truth will set you free."

Truth transforms feelings and actions. Choosing truth over feelings can transform how a person feels, thinks, and acts. Now, think about your clients.

Truth is an absolute. Truth should transcend emotions and feelings. Now, think about your clients.

I get it, there may be times when you feel hesitant about speaking your truth…because of the way you think it will be perceived, or to avoid confrontation.

I do know this... Spend any amount of time in sales and you will have been faced with the moment, "Do I really share what's going on or do I sugar-coat it to avoid a difficult situation arising?"

Perception is reality through the lens of your clients and future clients. And, my friends, this is what matters the most.

No matter what the situation, you must always be truthful, rather than avoiding uncomfortable conversations. Yet, how many in sales avoid these types of conversations?

Brad Blanton, author of Radical Honesty: How to Transform Your Life by Telling the Truth, writes:

"When we reveal more, we have less to hide. When we have less to hide, we are less worried about being found out. When we are less worried about being found out, we can pay better attention to someone else. In this way, telling the truth makes intimacy and freedom possible."

  • Are you brave enough to start proactive, healthy and assertive conversations that matter?

Here's the deal, if you want to build lasting and impactful relationships with your clients, and I know you do, you must tell them the truth.

Not only do you need to speak the truth with your clients; you also need to be willing to hear the truth from them about your business, how you carry yourself and the experience you're providing to them.

To quote Timothy Ferris,

“A person’s success in life can usually be measured by the number of uncomfortable conversations he or she is willing to have.”

Engaging in uncomfortable conversations leads to self-discovery, personal development, builds confidence, and the believability you have with yourself. These conversations will challenge you to confront your fears and assumptions of others, but stick with them, the outcomes are wonderful.

These conversations build your conversational muscles.

DETACH FROM THE OUTCOMES, TRANSFORM YOUR CONVERSATIONS

A special shout out to my dear friend Scott Schilling for this quote,

"High intention, low attachment"

What would it be like if you entered conversations with high intention and low attachment, as opposed to, high intention and high attachment? Would it change the conversation and outcomes? I submit you that it will.

It takes courage to have assertive, confident and healthy conversations. It also requires practice. The more you seek to connect with your clients in an authentic way, the more you will hone your skills of giving, inviting and releasing (detaching from the outcomes).

To quote Bob Hasson,

"Fostering healthy connection in our business relationships is critical to success, and for this reason, we must be committed to telling the truth, receiving well, and serving well."

Healthy and meaningful connections in your business relationships is not just beneficial; it's mission critical to your success and sustainability.

Commit to truthfulness. Become openminded to having assertive conversations, as this leads to collaboration, enhanced sales performance, and ultimately leads to you having greater success.

In today’s hyper connected business world, all of this becomes the bedrock for building lasting relationships that propel you to greater sales heights.

Think about your clients, think about the conversations you're having with them, think of how they view you... And now, to honor your clients is to honor yourself.
